Job Description
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The successful candidate will manage client documentation, assist with marketing duties, and provide administrative support to our client's Investment Sales team. This role offers the opportunity to convert to a permanent associate position.
ResponsibilitiesAssist with proposal creation and routing for transactions.Manage all client documentation (LOIs, listing agreements, commission agreements, lease or sale documentation, etc.).Ensure all listing materials (printed and digital) are accurate and up-to-date.Assist Investment Sales team with marketing administrative duties.Assist with the creation and distribution of press releases and brokerage announcements.Frequently post to social media about featured property listings, new listing announcements, completed transactions, and other relevant posts.Assist in the implementation of all marketing efforts as assigned by Director.Ensure printed marketing material is readily available for the brokerage team.Assist with tour preparation by printing tour materials.Help coordinate brokerage functions and events.Assist with deal invoicing and tracking.Obtain and maintain an outside broker list.Ensure distribution lists are constantly updated.Answer, screen, and forward incoming main line calls while providing basic information when needed.Enter work orders from tenants that come through the main line when necessary.Perform other clerical duties such as filing, photocopying, collating, and faxing when required.Essential Skills2+ years’ experience in an administrative role.General knowledge of brokerage processes and work history in the real estate industry preferred.Good organizational and time management skills.Excellent attention to detail.Strong computer and office skills.Proficient with Microsoft Office Suite and Adobe.Additional Skills & QualificationsExperience with MS Excel/Suite.Experience in front desk reception and data entry.Strong customer service skills.Work Environment
Open work environment. Monday to Friday, 8:30 AM to 5:00 PM. 37 hours in the summer with early Fridays out by 2-3 PM. Usually a 38-hour total work week.
Pay and BenefitsThe pay range for this position is $18.00 - $21.00/hr.
