REPORTS TO:Corps Officer
SUPERVISES:N/A
STATUS:Non-exempt (25 hours per week)
SCHEDULE:Monday – Friday, 9:00am to 2:00pm
FUNCTION:The Receptionist / Clerical Assistant supports Corps and Social Ministries in the discharge of secretarial duties and works under the supervision Corps Officer in cooperation local senior E.A provider. This job is privy to information that is sensitive in nature and therefore, confidentiality is essential to the job.
Responsibilities
• Answering and routing phone calls in accordance with office policies
• Greet individuals when they arrive for meetings / services
• Direct visitors to the appropriate person and office
• Ensure completion of paperwork, sign-in and security procedures
• Acts as the gatekeeper to the Social Ministries department; greet clients, recognize escalating behavior and create a welcoming environment.
• Correct client file in receptionist computer for errors – misspelling / incorrect SS#s (check in VESTA.).
• Create email lists for events.
• Data processing for trainings.
• Distribute Bus passes – order from Tank and pick-up
• Attend staff meetings as requested.
• Maintain Minutes for staff meetings
• Order supplies for office / processes mails and ensure copy room supplies are stocked.
• Print materials needed for various events
• Send reminder email for upcoming meetings.
• Respond to general information and volunteers’ requests (email and/or phone).
• Update supply inventory when needed.
• Assist with preparation of homeless lunches, hygiene bags, etc.
• Cooperate with other Salvation Army staff, including the Worship and Service Center ministry team, to create and maintain a harmonious and efficient environment. Conduct registration for programs such as camp, seasonal programs, stabilization courses offered by The Salvation Army and other programs as requested
• Process all other duties as requested by management.
• Provide good stewardship to building, resources and equipment
• Maintain time sheets and turn in when due.
• Support Christmas activities as assigned
Qualifications
• High School Diploma or GED
• Proficient in Microsoft Office and/or Microsoft Excel
• Excellent Typing Skills
• Must be safety conscious
• Must be able to handle difficult situation confrontations in a professional manner
• Must be self-motivated, highly organized, and able to work independently
• Two plus years’ experiencing in clerical services (preferred)
