**What’s the Job?**
As a receptionist placed by Manpower, you will be the first point of contact for clients, visitors, and staff at a busy law firm. This position requires someone with a cheerful disposition, who is not only professional but also empathetic and understanding toward clients who may be dealing with stressful or challenging situations. You will play a key role in ensuring a warm and supportive environment, while efficiently managing administrative duties and communication.
**Key Responsibilities:**
+ Empathetic Client Reception: Greet clients and visitors with warmth, patience, and empathy. Understand that clients may be experiencing stressful or emotional situations, and provide a calm, reassuring presence. Ensure they are directed promptly and courteously to the appropriate attorney or department.
+ Phone and Email Communication: Answer and manage phone calls in a friendly and professional manner. Provide assistance, take messages, and direct calls to the right staff members. Respond to inquiries via email with a helpful and supportive approach.
+ Appointment Scheduling and Coordination: Manage the firm’s calendar by scheduling appointments, meetings, and court appearances. Ensure all appointments are confirmed and that clients and attorneys are well-prepared.
+ Administrative Support: Assist with a variety of administrative tasks such as filing, copying, scanning, and preparing legal documents. Ensure all paperwork is organized and easily accessible to the team.
+ Client Intake and Documentation: Collect intake forms and client information in a compassionate and thorough manner, ensuring all necessary paperwork is completed and stored correctly.
+ Mail and Deliveries Management: Receive and sort incoming mail and packages. Ensure outgoing mail is processed accurately and promptly.
+ Maintain a Welcoming Environment: Keep the reception and common areas clean, organized, and inviting. Your role is integral in setting the tone for a professional yet warm and empathetic atmosphere.
+ Additional Support: Assist law firm staff with general administrative tasks and special projects as needed, ensuring the office runs smoothly.
**Qualifications:**
+ High school diploma or equivalent required (associate or bachelor's degree preferred).
+ Previous experience in a receptionist or customer-facing role, ideally in a professional or legal setting.
+ Exceptional empathy and a positive, cheerful demeanor. Must be able to show genuine care and support to clients.
+ Excellent communication skills, both verbal and written, with a focus on creating positive interactions.
+ Ability to handle confidential information with discretion and professionalism.
+ Strong organizational skills with the ability to manage multiple tasks simultaneously.
**Preferred Qualifications:**
+ Prior experience in a law firm or legal environment.
+ Knowledge of legal terminology and case management software (preferred but not required).
+ A strong desire to create a positive experience for clients in a potentially stressful or high-stakes environment.
**Work Environment:**
+ Office-based role in a professional law firm setting.
+ Full-time hours during the placement period.
+ Temporary or contract position with potential for extension based on performance
