As our first-line staff member, you will welcome and engage with visitors, vendors and staff arriving at our London office, operate our Reception and support the smooth running of our office. This position is a one-year fixed-term contract requiring five days a week in the office.
Your Responsibilities:
Welcome and coordinate all visitors to our London office. Coordinate incoming telephone calls and take messages. Act as the first point of contact for facility vendors/building vendors/office staff. Assist office management with admin tasks (MS Office tasks, printing, copying, scanning, mail duties and general office supportive tasks). Support the stationery, consumables and beverage supply and replenishment process. Place orders through multiple providers efficiently and spend wisely. Support the office lunch operation by liaising with the lunch supplier and overseeing the menu. Creating lunch accounts for new starters and helping with onboarding. Mail processing, including courier arrangements. Coordinate/organise key areas with our support teams (organizing kitchens – beverages/ consumables, keeping meeting room/reception neat and orderly, etc.) Coordinate office requests/tickets via the office facilities team. Support the smooth running and operation of a busy office environment. Supporting ad-hoc office facilities requests and office projects. Supporting with facilities reporting. Being in charge of the well running of the meeting room calendar. Hospitality intake – refreshments set-ups for meetings Supporting the HR team with Events Management (E.g., Happy Hour Events, Charity Fundraising, searching and liaising with venues and vendors). Support the staff in our Dubai office by registering new starters with local lunch providers, placing orders to replenish stationery and pantry stock, and researching new vendors). Support for the staff members visiting from other offices (E.g. travel & accommodation arrangements, lunch arrangements). Overseeing the contractors to provide office cleaning and plant maintenance.Your Experience and Qualifications:
Professional and dynamic with strong people skills. Strong organisational skills, with the ability to prioritize effectively and multi-task. Team player as well as able to work independently. Proactive with a “can-do attitude”. Proficient user of MS Office and able to support a busy office operation. Fluent in English, written and verbal.Location
