Record Management Clerk

The Department of Children and Families is seeking a Record Management Clerk who is committed to upholding the department’s fundamental mission of protecting children from abuse and neglect to ensure they are able to grow and thrive in a safe and nurturing environment.

GENERAL STATEMENT OF DUTIES:

Performs clerical support activities primarily for the Division of Administration Finance that in turn supports DCF offices statewide, including but not limited to:

Assignments of a confidential nature.Answers and/or refers inquires to appropriate parties for action.Manage the archived records request process.Enters data on i-FamilyNet.Composes and/or prepares correspondence, reports, and/or affidavits as requested.Coordinates records production for external requests including records production, redacting and printing.Supports Mail/Copy Room as a backup.Facilitating Client Care requests.Maintains files and records such as correspondence, confidential records, etc.Provide a back-up role for the receptionist and switchboard.Provides coverage for vacant positions within the Operations Unit.Other administrative duties as assigned by Supervisor.

PREFERRED QUALIFICATIONS:

• Demonstrated ability on all office equipment including: PC, photocopier, scanner, and virtual fax.

• Demonstrated ability to work with culturally diverse populations.

• Demonstrated ability to maintain a professional demeanor in all communication and correspondence.

• Demonstrated ability to utilize Word, Excel and i-FamilyNet.

• Ability to plan, organize, and carry through on office events.

• Ability to carry out work activities with a minimum of direction.

• Ability to establish systems to improve overall performance of all clerical functions.

• Ability to organize and improve the filing system.

Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.
