Reporting to the Director of Advancement Data Governance, the Records Coordinator will perform data entry for Villanova constituent records using University database applications in support of the Office of University Advancement and the Advancement Services team. Maintaining thorough, high-quality data is crucial to facilitate the achievement of University Advancement’s fundraising and engagement goals. This position will be responsible for administrative and technical tasks, specifically related to maintaining and enhancing constituent data, to maintain the highest level of data integrity for Villanova alumni, students, parents, and friends.

Duties and Responsibilities: Work with the Director of Advancement Data Governance and the Records Analyst to update information on constituents by performing data entry in the university database (Banner) and Salesforce CRM by transferring data from spreadsheets and other external sources to the database according to established procedures and guidelines. Verify and maintain the accuracy of data entry by providing support through data audits and various activities related to the maintenance of constituent records by using Banner, Salesforce, Cognos, Constituo and other University Advancement software. Validate constituent data by using the internet and search tools for research to ensure accuracy for biographic, demographic and educational information. Assist with documenting departmental and systems processes and procedures as needed. Participate in the testing of new or modified information systems, applications, and programs. Other duties and special projects as assigned. Minimum Qualifications: Bachelor’s degree preferred a mix of post-secondary education and relevant experience may be considered in lieu of degree. Entry level to two years of experience in an office or administrative setting. The successful candidate must possess good planning and administrative skills, excellent verbal and writing skills, strong work ethic, demonstrated ability to participate in a collaborative work environment and the ability to manage several projects simultaneously. Must be proficient in Microsoft Office, especially Excel, and other spreadsheet programs. Advanced attention to detail with emphasis on accuracy and understanding of data confidentiality principals required. Ability to be flexible and manage multiple projects while effectively prioritizing workload to ensure deadlines are met is a must. Excellent verbal and written communication skills. Critical thinking and demonstrated comfort learning new technologies and systems required. Experience and ability to work in a fast-paced environment required. Solutions-oriented approach to work. Proficiency in Microsoft Office, especially Excel and other spreadsheet programs is critical. Preferred Qualifications: Previous experience working in fundraising or higher ed advancement is preferred. Understanding of or experience working with Banner, Salesforce, and Cognos preferred. Physical Requirements and/or Unusual Work Hours: Requires willingness to attend and provide staff support at select special events which occasionally take place during evenings and/or weekends.
