Pay Rate | Salary | $60,000 Yearly 

Shift Details | Monday - Friday 8:00 am - 4:30 pm

Job Purpose or Objective(s): The Records Officer is responsible for the accurate management of inmate records, legal documentation, and coordination of inmate-related processes. You will ensure compliance with legal requirements, maintains accurate data, and facilitates smooth operations in managing inmate custody, releases, transfers, and disciplinary actions. You will report to the Corrections Manager.

 

Primary Tasks:

1.     Ensure filing and accuracy of inmate documentation, including up-to-date inmate photos. Maintain inmate time served, credits earned, and release dates. Distribute monthly reports to inmates

2.     You will monitor discharges, sentence rebills, and projected release dates to ensure accurate record-keeping.

3.     Report the daily inmate count to ensure accurate and real-time location reporting.

4.     Gather and compile data related to inmate custody and movements, ensuring accuracy and updates to the jail management system.  Process inmate transfers, receptions, discharges, conditional releases, and sentence rebills.

5.     You will review and manage legal mail, including judgments, sentences, jail time statements, detainers, and court sentence modifications.

6.     Prepare, process, and monitor extradition paperwork and testify in court regarding inmate records and legal matters.

7.     Chair inmate misconduct hearings and manage the documentation and transfer of files related to hearings.

8.     You will be a liaison with law enforcement, court officials, attorneys, state and federal agencies, inmates' families, and the public regarding inmate-related inquiries and information.

9.     Provide records management training to department staff and private prison personnel to ensure consistency in record-keeping and adherence to departmental standards.

10.  Ensure inmates are enrolled in all required court-mandated programs or registries, maintaining compliance with legal requirements.

11.  Perform other duties as may be assigned.

 

 MINIMUM

Strong attention to detail and accuracy in record-keeping and documentation.Three years of professional or technical administrative experience in business or public administration, correctional records management, or social casework involving the classification and assignment or field supervision of inmates; or an equivalent combination of education and experience.Technical administrative experience includes complex clerical work under the guidance of a professional manager.
