Job Description:
Provide records creation, circulation, storage, tracking, transfer and retention services as defined or outlined in EPIQ’s service agreement with client.Essential Job Responsibilities
The Records Specialist is responsible for performing Records operations and assisting with the administration of Records including physical and electronic.
Facilitate the processing of orders in a timely and organized mannerActively manage both on-site and off-site Records collection while maintaining consistent Records across the Firm Records Management system and off-site vendor systemsUtilize the Records Management System (FileTrail) to enter, index and update content including running various reportsComply with current document retention policy and make sure proper documents are retained or destroyed via FileTrail for physical RecordsMonitor the Records Management mailbox to identify and reply to request for access to systems and or documents from our DMS system (NetDocs)Daily investigate all floors to ensure proper secure shredding has been removed and staged for pickup from outside vendor (Iron Mountain)Stage delivery of boxes from outside vendor(Iron Mountain) to be reviewed and disposed of due to the Firm’s Record Retention policy.Prepare weekly status reports, each records employee is required to provide a weekly summary of work completed for that week.Assisting with research to obtain file disposition.Assisting with information mobility in the process of file transfersAttend all Records Management training sessions an provide valuable input.Additional task and responsibilities will be assigned by the Records Manager as neededQualifications & Requirements
High School Diploma or GEDFundamental understanding of Records Management, data privacy, and data security considerations unique to law firms, preferably 2-3 yearsFundamental understanding of Legal holds and retention of client records in compliance with Firm policies and standard procedureAbility to work independently and manage multiple tasks simultaneously in a fast-paced environmentAbility to collaborate closely with co-workersAbility to lift or move 65 lbs. or greaterAbility to walk, bend, kneel, stand, or sit for an extended period of timeStrong attention to detail; and the ability to work additional hours, as needed8:00 AM - 4:30 PM M-FThe Compensation range for this role is 19.26 to 25.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
