Examples of Duties Performed - Duties may include but are not limited to the following + Perform and/or oversee a variety of clerical tasks to support facility activities, such as front desk reception, program information and registration, program activity tracking, and facility rentals; assist customers and patrons with requests for information. + Schedule, assign and train temporary employees and volunteers in activities involving front desk coverage during regular facility and rental hours, rental scheduling, and other clerical support duties; review and monitor assigned activities; may participate and provide input in hiring and performance review processes for temporary employees. + Process accounts payable and receivable; monitor and track payments; process purchase orders and requisitions; assign appropriate codes to transactions. + Reconcile program registration and rental income; make deposits; issue and track refunds and cancellations; track income for specific program areas; monitor contracts. + Process and monitor payments for facility expenditures; purchase supplies and maintain inventory. Maintain and account for petty cash funds; including distribution and replenishment of funds. + Perform other clerical duties, such as typing correspondence, sorting mail, establishing and maintaining office files, and maintaining office equipment. + Track and prepare financial and activity statistics as requested; assist with the creation of reports. + Perform and/or assign the data entry for a variety of financial and recreation activity tracking systems. + Attend meetings; may take and type meeting minutes. + Actively supports and respects diversity in the workplace. + Performs related and other duties as assigned. Minimum Qualifications Experience: Two years of full-time general office experience. Customer service skills and recreation program knowledge desirable. Prior experience working with people with disabilities is preferred. Education: High school diploma or G.E.D. equivalent Certificate: First Aid/C.P.R. certificate or ability to obtain within six months Background: Must pass a background check The ideal candidate will have the following Knowledge, Skills, Abilities + Work as a responsive and effective team member with coworkers, other City departments, community partners and the public. Communicate effectively and respectfully. + Work independently on tasks, maintain a variety of responsibilities that support the function of the recreation community center, including policies and procedures and financial records. + Provide effective direction, leadership, and coaching to temporary staff. Work with a high degree of accuracy and attention to detail while maintaining a high level of public service. Supplemental Information Bilingual Pay Benefit Per the AFSCME contract (https://www.eugene-or.gov/Archive.aspx?AMID=71) , the City shall pay an employee an additional five percent (5%) for a required intermediate or advanced level competency. To qualify for bilingual pay, the employee must have demonstrated fluency in the required language and successfully pass a fluency examination administered by the City's Employee Resource Center division.
