Recruitment Coordinator
Overview JOB SUMMARY: Responsible for managing the administrative aspects of the hiring process, including posting job openings, screening candidates, scheduling interviews, coordinating with hiring managers, conducting background checks, and ensuring a smooth candidate experience throughout the recruitment cycle, essentially acting as the operational backbone of the hiring team. This position is an integral part of the contingent workforce program. LOCATION: Fairweather, LLC Office- Anchorage, AK SCHEDULE: Monday through Friday, 8am-5pm Responsibilities ESSENTIAL FUNCTIONS: Manage employment opportunities; recruit and hire contingent workforce on behalf of clients. Draft and post job descriptions utilizing applicant tracking systems (ATS) to manage candidate flow. Screen candidates: Review resumes and applications to identify qualified candidates, then conduct initial phone screens to assess fit. Coordinate interview schedules between candidates and hiring managers, managing interview logistics. Maintaining consistent communication with candidates throughout the hiring process, providing updates on their status. Initiate and manage pre-employment background checks and reference verifications. Draft and send offer letters to selected candidates, including compensation details. Assist with the onboarding process for new hires, including paperwork and introductions to the team. Maintain accurate candidate information in the applicant tracking system (ATS), generating reports on recruitment metrics. Ensure adherence to employment laws and company policies throughout the hiring process. Confer with the Health Safety & Environmental Manager to assist with current and upcoming training/screening needs to maintain contract compliance Assist in timesheet questions & concerns and perform a detailed and thorough timesheet review each payroll cycle. Perform a detailed and thorough invoice review. Assist Accounting in obtaining backup documentation that supports contractual obligations Assist Fairweather Management in Audit requirements Interface with key personnel to ensure objectives align with expectations Provide position status and analysis Other administrative tasks as needed and assigned to support the organization Qualifications MINIMUM QUALIFICATIONS: High School Diploma (or GED) College degree in a related field (preferred but not required) Three to five (3-5) years of business-related experience in project management or administrative role Proficient in Microsoft Office suite Excellent customer service skills Previous experience within Oil & Gas industry, preferred Knowledge, Skills, and Abilities: Knowledge of administrative and clerical procedures and office administration Knowledge of computers and relevant software applications, highly proficient in utilizing MS programs: Excel, Word, Outlook, and PowerPoint. Knowledge of customer service principles and practices Strong communication skills and highly self-motivated when managing communication channels Reliability – good attendance is essential Ability to work well alone, in teams, and in diverse populations Ability to meet and establish good working relationships with people Ability to establish priorities, work independently, and complete objectives Ability to use discretion with sensitive information and confidential correspondence Highly organized and capable of creating organizational systems that others easily utilize Working Conditions: Physical Demands: This role may spend long hours sitting and using office equipment and computers, which can cause muscle strain. This role may also have to do some light lifting of supplies and materials from time to time. Working Conditions: The office may be a busy facility. This role may have to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of employees, staff, visitors, clients, contractors, and the general public. This role may find the environment to be busy, noisy, and will need excellent organizational and time and stress management skills to complete the required tasks. This position is not authorized for remote work unless pre-arranged with supervisor.
