A Regional Administrative Assistant provides administrative support to multiple Regional Presidents across the nation. This position is a critical support role to provide leaders with the resources needed to complete their duties. The ideal candidate will demonstrate a high level of discretion and professionalism when dealing with day-to-day duties and responsibilities.

Manages and prioritize a variety of administrative request from senior leaders.
Assist senior leadership on presentation preparation to ensure accuracy and formatting.
Maintains a variety of tracking spreadsheets based on needs of the business and provides applicable data to leaders when requested.
Responsible for reviewing and approving senior leaders’ direct reports expense reports on a monthly basis. Must have a complete understanding of our Travel and Expense Policy to ensure regional expenses are compliant.
Prepares agendas for meetings and arrangements, including coordinating catering for luncheons and other gatherings.
Assists Regional Presidents in planning and executing on regional conferences and events.
Supports senior leaders with maintaining their calendars and schedules appointments when requested.
Screens incoming calls and correspondence and responds independently when possible.
Composes internal communications for distribution to an assigned distribution list.
Responsible for processing and coordinating invoice routing and monitoring payments to vendors.
Provides support to Regional Presidents and regional leadership on scheduling travel.
Partners with internal stakeholders on gathering information requested by senior leaders.
Perform other duties as assigned.
Additional functions
In addition to the essential functions listed above, the incumbent may perform the following additional functions.
Travel to regional meetings to support senior leadership and ensure planned actives and event go as expected.
Job QualificationsRequired Qualifications
Bachelor’s degree or equivalent experience and two (2) years of administrative experience or relevant experience.
Ability to multitask and prioritize daily workload
Exemplary planning and time management skills, along with the ability to think quickly to resolve unforeseen issues
High level verbal and written communications skills
Demonstrates a high level of discretion, professionalism and confidentiality when dealing with sensitive information.
Ability to work independently, ability to think outside of the box and create proactive opportunities
Proficiency with the Microsoft Office suite including in-depth knowledge of Outlook, Word, and Excel with the ability to pick up new systems and software easily

Environmental Factors
MAY BE REMOTE. This position is in an office environment in which team members occupy desks in assigned areas or at meeting/collaboration spaces within the building. The building’s primary work areas consist of desks, chairs, computers and other office equipment and devices for professional services.
Travel and On-Call
This position may require limited travel within regional areas of support.
