The Regional Assistant Office Manager is responsible for coordinating and performing clerical duties as required in the programs to which assigned. The Regional Assistant Office Manager will oversee and train all office staff in their region. Minimum Education Required High School Diploma/GED Responsibilities Analyze and organize office operations and procedures, requisition of supplies, and other clerical services in collaboration with Senior Office ManagerEvaluate office production, revise procedures, or devise new forms to improve efficiency of workflow in collaboration with Senior Office ManagerEstablish uniform practices and ensure practices are followed in collaboration with clinic leadershipSupervise, provide feedback and train office staff in all responsibilities. Provide backup coverage when requiredInsure administrative budgetary restrictions are metFormulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records in collaboration with Advocates’ Records Department. Direct, develop and produce special projects as directed within regionCollaborate with clinic leaders to ensure intake procedures are followedCollaborate with clinic leaders to ensure medication scheduling workflows are followed. Answer phones providing information to service providers and support to program clients.Responsible for monitoring the up-keep of the site. Maintain a welcoming, trauma informed, culturally sensitive environment and treatment approachAttends and actively participates in supervision and staff meetings.Attend trainings as assigned; maintains necessary certifications (CPR, First Aid).Adhere to all principles related to the Advocates Way. Assist with medical tasks, as required.Strictly adhere to all HIPPA regulations and maintain confidentiality at all timesEnsure that individuals we support are treated with dignity and respect in accordance with Advocates’ Human Rights policy.Perform all duties in accordance with the agency’s policies and procedures.Strictly follow all agency Performance Standards. Qualifications High School Diploma or GED and 3 years experience in an administrative role with supervisory responsibilityExcellent communication skills, both oral and written.Must have Strong computer skills.Ability to maintain strict confidentiality at all timesDemonstrated understanding of and competence in serving culturally diverse populationsStrong computer skills and report writingA wide knowledge of the organizational and initiative branding and marketing strategies.Must have exceptional organizational skills and ability to multitask in busy environment.Strong attention to detailHigh energy level, superior interpersonal skills and ability to function in a team atmosphere.Ability to read English and communicate effectively in the primary language of the program to which he/she is assigned.Must hold a valid drivers’ license.
