Regional Operational Facility Manager

Reports     to:        Assistant Vice President, Facilities Management (AVPFM) 

 

Positions Reporting to this Position:  Facility managers, Porter/ Van Drivers/Maintenance 

Salay: 72,572.76

 

Purpose of the Position  

The Regional Operational Facility Manager is a deadline-driven professional with experience in facilities maintenance and construction. S/he supervises porter/van drivers and works with maintenance staff to ensure Win facilities are kept clean and the exterior is free of debris and well maintained. S/he conducts regular inspections of the facilities to determine necessary repairs, replacements and improvements.  

 

Responsibilities: 

Responsible for providing administrative support to Assistant Vice President of Facilities Management and assigned divisions in Win’s Executive Office.   

Responsible for preparing and filing correspondence, compiling relevant vehicle and maintenance reports as directed by the AVPFM and the Chief Operating Officer (COO).  

Create and maintain a report to track all repair request showing their current status and issue work orders. 

Supervise Porters and Van Drivers. 

Complete performance evaluations on time.  

Cooperate with the Human Capital Department to address recruitment and staff performance concerns.  

Collaborate with the Human Capital Department for all investigations. 

Take the lead on special projects for the AVPFM as assigned. 

Function as the co- contact person for all facility service inquiries.  

Represent the AVPFM at internal and external meetings. 

Establish and maintain a maintenance program for all heating, ventilation, and air conditioning (HVAC) systems and boilers. 

Assist in the operation of equipment by completing preventive maintenance requirements, troubleshooting malfunctions, schedule repairs, maintain equipment inventories, and evaluate new equipment. 

Manage maintenance expenses and forecast project costs as assigned.  

Responsible for proper vehicle maintenance and care when operating a Win vehicle.  

Responsible for immediately reporting all issues, infractions, and accidents that involve a Win vehicle to the AVPFM and COO.  

Maintain up to date maintenance procedures to insure the safety of clients, staff and visitors. 

Responsible to monitor all the vehicles to ensure they are where they are supposed to be and report any issues to the AVPFM. 

Assist our supportive housing team with client move outs. 

Responsible for reviewing the monthly gas account and report any discrepancies to the AVPFM. 

Site specific oversight on interim basis as needed based upon coverage issues and/or vacancies 

Assist office manager with coordination of all office moves 

Manage work order data and communications with outsourced maintained properties 

Prioritize and plan work schedules, maintain work standards, and participate in a skill development program for all maintenance staff. 

Maintain an emergency contact list for all landlords, superintendents, and vendors.  

Track all contractors and provide up to date reports on projects to the AVPFM and COO. 

Perform other related duties as assigned.  

 

Essential Functions: 

Must be on call 24 hours, 7 days a week. 

Must be able to work with hazardous substances with proper protective equipment. 

Must be able to regularly lift-up to 50 pounds. 

Must be able to ascend/descend stairs in an eight (8) story building. 

 

Qualifications:

High School diploma and vocational training required. 

Ten (10) years of experience in facility management, repairs, plumbing, and electrical systems plus three (3) years of supervisory experience required.  

Knowledge of relevant NYC building codes and blueprints. 

Experience working with subcontractors. 

Demonstrated knowledge of building operations and HVAC systems. 

Knowledge of HVAC, Boiler, Standpipe, and FDNY Fire Alarm systems.  

Clean Class D or E driver’s license. 

Excellent verbal and written communication skills.   

Proficient in Microsoft Word, Excel, PowerPoint and Outlook required. 

Bilingual – English/Spanish a plus.
