This role will provide critical support during the implementation of the new scheduling platform, Coursedog, ensuring that all administrative and faculty users are guided effectively. The Registrar Scheduling Assistant will work to maximize classroom space, optimize timeslot usage, and allocate resources for special programs, contributing to a seamless academic experience for students and faculty alike. Essential Job Functions & Responsibilities Course Scheduling Coordination + Assist the Assistant Registrar in managing the course scheduling process across all campuses and online platforms + Collaborate with academic departments to collect and compile course scheduling requests, ensuring alignment with academic programs and institutional priorities + Maximize classroom utilization by analyzing course scheduling patterns and making recommendations for optimal use of available space and timeslots Implementation Support for Coursedog + Provide support and guidance to administrative and faculty users during the implementation of the Coursedog scheduling platform + Conduct training sessions for end users to ensure effective utilization of the new system and troubleshoot any issues that arise + Serve as the primary point of contact for questions related to Coursedog, facilitating communication between users and the technology team Resource Allocation + Ensure that special programs are allocated appropriate classroom space and resources in accordance with institutional policies and academic requirements. These programs include workforce development workshops and courses, international programs, Global Honors, Catalyst, etc. + Work closely with department heads and program directors to ensure their scheduling needs are met while optimizing overall classroom usage Data Management and Reporting + Maintain accurate records of course schedules and classroom assignments, ensuring data integrity and compliance with university policies + Generate reports to analyze course scheduling efficiency and make data-driven recommendations for improvements + Assist in the evaluation of course scheduling effectiveness through ongoing analysis of student enrollment trends and feedback Communication and Collaboration + Facilitate communication between departments regarding scheduling conflicts, changes, and updates + Collaborate with academic and administrative staff to address scheduling concerns and implement solutions in a timely manner + Attend departmental meetings and represent the Registrar’s Office in discussions related to course scheduling General Administrative Responsibilities + Maintain organized documentation related to course scheduling processes and procedures + Assist in other administrative duties as assigned, contributing to the overall success of the Registrar’s Office and academic operations Qualifications Required Skills & Experience + Demonstrated commitment to fostering an inclusive and equitable academic environment + Proficient in office software, including Microsoft Word, Excel, and database management tools + Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment + Excellent written and verbal communication skills with attention to detail and problem-solving abilities + Experience in with course scheduling within a higher education context is preferred + Ability to work independently and collaboratively, taking initiative to complete tasks efficiently + Willingness to occasionally work outside standard work hours to support scheduling needs and special projects Education Requirements + Bachelor’s degree required with 3-5 years of relevant experience in academic course scheduling About Mercy Mercy University is a dynamic, independent, coeducational New York City areauniversity that offers more than 100 undergraduate and graduate degree and certificate programs in six schools: Business, Education, Health and Natural Sciences, Liberal Arts, Nursing, and Social and Behavioral Sciences.
