General Summary:
Responsible for processing release or disclosure of requested Protected Health Information (PHI) according to Federal/State laws and regulations. Maintains confidentiality in all phases of release of Protected Health Information. Promotes positive customer relations through prompt and courteous service in this fast-paced, high volume and customer focused environment.
Essential Job Functions:
Maintains up-to-date knowledge of policies, State & Federal laws and regulations governing disclosure of protected health information.
Performs all functions related to the release of information process, including authorization validation, entering request in computer systems, processing and scanning of request. Ensures Release of Information requests are processed in compliance with all state law and federal privacy guidelines.
Liaisons with outsource company representatives to ensure processing of requests within required guidelines.
Notates on each request cover sheet the pertinent information needed for the Vendor to enter and process the request.
Organizes and prepares charts for copying.
Obtains requested information from clinic/departments, prints needed information from other source systems and provides the information to Vendor for releases.
Processes/fulfills all emergency requests according to guidelines.
Reconciles all outstanding requests; fulfilling or canceling requests, ensuring ROI computer systems are accurate and up-to-date.
Communicates with requesters regarding the request process and also the validity/completeness of submitted authorization.
Daily communications with attorneys, patients, families, 3rd party payers and Risk Management and department/clinic office staff to manage and fulfill requests.
Facilitates Accounting of Disclosure requests and Requests for Amendments according to HIPAA Privacy Policies.
Processes requests for Epic Patient Portal “MyChart” access. Provides account access/authorization to participate in the “MyChart.”

Knowledge, Skills and Abilities:
High School diploma or equivalent required. Associate’s degree preferred, preferably in Health Information Management.
Minimum of two years of experience in a hospital Health Information Management department or large outpatient clinic operation with release of information experience preferred.
Certification/Licensure/Registration: RHIT preferred
Must have a professional demeanor and possess excellent, verbal, written and interpersonal communication and customer service skills.
Ability to multi-task and be able to work in a fast-paced environment. Must be able to appropriately prioritize tasks.
Knowledge of medical terminology required.
