Relocation Project Coordinator
Job Title: Relocation Project Coordinator Job Description We are seeking a Relocation Project Coordinator to handle project administration, reporting, and move management. The ideal candidate will ensure client satisfaction, manage vendors, and maintain occupancy information while incorporating best practices in relocation projects. Responsibilities + Handle administrative responsibilities such as meeting minutes, agendas, and project reports. + Maintain records in a manner that protects client confidentiality. + Assist with project closeout, including data cleanup, lessons learned, client reports, and post-move surveys. + Receive and process client move requests, ensuring client satisfaction throughout the relocation management process. + Assist in managing vendors and supporting suppliers such as technology, telephony, and furniture. + Perform data input into the CAFM system to maintain occupancy information and ensure data accuracy. + Provide a single point of contact for all move management activities. + Participate in planning meetings with the client, Occupancy Planning, and other key stakeholders. + Provide move signage, general move directions, and be present on campus or at the move site to answer questions, organize move orientations, and resolve post-move issues. + Ensure all project/account activities and processes are consistent with documented processes, including client policies and procedures. + Incorporate best practices into relocation projects. + Initiate and manage meetings to review move schedules with move vendors and key stakeholders. + Evaluate vendors to ensure compliance with performance standards. + Ensure all project initiation, execution, and closeout documentation are complete. + Identify outstanding issues associated with the project and communicate them to the team lead. + Assist in entering and processing information during post-move help desk. + Manage small relocations of 300 people or less and assist the Senior Relocation Manager in large relocations. + Understand client protocols and develop appropriate communication strategies. + Communicate actively during meetings and project-related speaking situations to deliver the project on time and on budget. + Project confidence and reinforce client trust in the team's skills and knowledge. + Maintain an understanding of client concerns and challenges to assist in reducing stress levels caused by change and upcoming relocation. + Work independently and anticipate upcoming required project tasks. + Observe and identify client cultures and individual learning styles. Essential Skills + Strong Microsoft Excel skills. + Ability to utilize the Microsoft Office suite of technologies. + Excellent written and verbal communication skills. + Detail-oriented. + Ability to multi-task and work both in a team and independently. + Experience in CAD/CAFM technology with a move management module and/or client facilities management system. + Strong interpersonal skills with the ability to interact with executive-level internal and external clients. + Organizational skills with the ability to identify and manage priorities. + Highly organized with strong analytical skills. + Flexibility with work hours and travel as needed. Additional Skills & Qualifications + Bachelor’s degree from an accredited institution in Accounting, Business, Architecture, Engineering, Interior Design, or Construction Management strongly preferred. + 1 - 2 years of experience as a Facility Coordinator, Relocation Project Management Coordinator, or similar/related experience in a Corporate Real Estate environment. Work Environment This role requires a minimum of 4 days onsite, is very physically active, and may require working on one's feet for a minimum of 3 hours at a time as well as repeatedly lifting items of up to 50lbs. Pay and Benefits The pay range for this position is $34.05 - $34.05 Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
