Job Description
We are seeking a dedicated Rental Coordinator to manage all rental opportunities with internal and external customers. This role involves coordinating truck repairs and preparations, logistics, billing, inventory checks, and maintaining rental records. The ideal candidate will have strong administrative skills, be detail-oriented, and possess good communication abilities.
ResponsibilitiesWork with internal and external customers on all rental opportunities.Arrange logistics for equipment delivery and pickup.Provide quotes, set up contracts, handle billing and credits, and manage rental abuse billing.Review daily rental invoice runs and invoice review reports, filing documents appropriately.Assist Accounts Receivable Assistant with collections when requested.Work with existing customers to ensure funding on their purchase orders.Track all equipment, perform inventory checks, and produce rental reports.Conduct equipment searches within the network and with outside vendors.Maintain all rental records including open and closed contracts and related billing procedures (SAP entry).Maintain equipment files reflecting status, notes, upcoming opportunities, and repair quotes.Close out service maintenance status on all returned equipment.Track rental opportunities and ensure follow-up by all parties, sending bi-weekly rental quote logs to the sales team.Approve incoming vendor invoices for re-rent equipment, ensuring correct and accurate billing.Respond to individual and group emails in a timely manner, prioritizing as necessary.Assist other rental coordinators and logistics coordinators as needed.Run rental reports for customers and collaborate with them as required.Review daily service invoicing to the rental department, ensuring proper documentation.Work with the rental manager on equipment needs for new truck orders and lease purchases.Essential Skills3-5 years of experience in dispatch/rental coordination.Mechanical aptitude.Proficiency in Microsoft Office Suite, including Excel.Typing speed of 40 words per minute.Additional Skills & QualificationsStrong administrative skills, organized, detail-oriented, good record-keeping, and proficiency with numbers and spreadsheets.Excellent communication skills, able to interact effectively with customers, vendors, and employees at all levels, fostering a team environment.Self-starter with the ability to handle multiple tasks, interruptions, and changing priorities.Flexibility to adjust work responsibilities as the job evolves and grows.Product knowledge or the ability to learn the product in a timely manner.Work Environment
The Rental Coordinator will work 100% onsite, with the possibility of remote work due to weather conditions with manager approval. This is a full-time, hourly position directly supervised by the Rental & Used Equipment Manager. The standard work schedule is 8:00 a.m. – 5:00 p.m., Monday through Friday, with a one-hour lunch break. This schedule may change based on business needs. The team consists of two rental coordinators and a logistics coordinator.
Pay and BenefitsThe pay range for this position is $24.00 - $28.00/hr.
