We are seeking a Repairs Administrator to join our repairs team. You will support the Tomago office with all things administrative based. 

This role is based on site at our Tomago location and will report in to the Service Centre Manager. 

Team you belong to

We work closely with other internal stakeholders including account managers, coordinators, facilities, and managers. Our team culture is relaxed, we work well together and help each other out when needed.

What you’ll do

•    Collate and submit weekly Works in Progress reports to customers.
•    Assist with the administrative duties in relation to contractual obligations.
•    Follow up on job completion, closure and prepare cost summary reports.
•    Prepare invoices and investigate unpaid invoices.
•    Monitor all orders and change orders in Quadrem and follow up with relevant stakeholders. 
•    Prepare and issue quotations, with guidance from the Repair Coordinators.
•    Create and maintain job files.
•    Create packing lists and non-sales shipments for movement of goods to be repaired or refurbished.
•    Back-order report rectification for all repairs coordinators.
•    Purchase consumables for the Workshop and Field Service Teams.
•    Collate and submit monthly reports for service activities.
•    Assist with administration, minute taking and distribution, planning, coordinating, Site Inductions & Rapid Induct and reception duties.
•    Provide Workshop Supervisor with weekly RMS# to S4 job numbers table. 
•    Kronos Timekeeping & Reporting into S4 Hana.
•    Prepare parts requisitions and purchase requisitions.
•    Create demands for parts on Sales orders.
•    Vendor Liaison.

Who you are

•    Intermediate level skills in MS Office – Word and Excel.
•    Excellent data entry skills – numerical and alphanumerical.
•    Experience in office administration.
Desirable
•    Knowledge and experience in the mining service industry or in the heavy industrial workshop industry.
•    Knowledge and experience with accounting packages and in-house software systems.
•    S4 Hana and Kronos Timekeeping knowledge.
