The role sits in the Replenishment Buying organization and is stationed at the Market level. The Replenishment Assistant will run supporting operations for Replenishment activities within a market, owning logistics, sales, and costing coordination for product orders. The Replenishment Assistant is tasked with tactical support for local Replenishment operations and is crucial to ensuring operational success and delighting our customers.The Replenishment Assistant will team up with sales and supply chain to ensure customers receive complete orders and have great experiences in all interactions with US Foods. This includes executing drop ship billings to customers, approving Credit and Debit Memo Requests (CDMR) and researching which requests can be billed back to vendors. Execute against inventory management strategies to help reduce waste and or losses. Execute Sales Incentive billings (CASIS) to vendors and assisting Replenishment with the inventory management process, Demand Change (DCT) communication and Replenishment reporting.
Flexible Work Policy: The Replenishment Assistant position has been segmented as Hybrid, meaning the work is a combination of onsite (4 days per week) and virtual (1 day per week). This position is based out of our location in Portland, OR.
ESSENTIAL RESPONSIBILITIES
Daily replenishment duties and KPI monitoring:
Work with Area Buyers and Replenishment Leads to ensure key Replenishment functions are being fulfilled
Manages the Credit Debit Memo Request process, drop ship billings. Communicate stock status and shortfalls to the sales team daily, follow up on urgent needs with Buyers and Logistics.Process all drop ships and execute the billing of all Vendor to Customer drop ship orders.Identify slow and dead products and execute the strategy to move products out of the warehouse by shipping/billing to vendors, transferring product to other US Foods’ Markets, and working with sales to sell products to customers. Also facilitate additional, inbound, inter-company inventory transfers from other Markets.Approve customer credits for spoilage and out of date products. Research if these credits along with damage product credits can be billed back to the vendorAccumulate vendor billings from Marketing, Category Management, and Replenishment and enter into CASIS billing systemAssist Replenishment with the Alert Date process on short shelf-life products, communicating demand changes to the Replenishment Service Center, and replenishment reporting.Other work as assigned, to support the Area Replenishment team.Area Buyer support & coordination:
Support the Area buying team with routine buying support tasks
Report Reviews: Contribute to the reviews of certain reports (e.g., BIT, Waitlist, PO Prioritization, Vendor Cuts, Special Orders, Stat 9 On Hand, etc.) and raise issues to buyers/leadership as necessaryLogistics and Costing tasks: Follow up on late POs, perform routine track & tracing for POs, and investigate/resolve costing issues (CASIS)Service issues POC: Serve as the first point of contact for area service issues and escalate as necessaryDCT and SODS responses: Respond to DCTs (demand signal adjustments) and SODS (special orders) from cross-functional groupsTeam cooperation & continuous improvement:
Participate on a team of 1-3 Replenishment Operations personnel and help drive continuous improvement within the team. Specifically providing:
Continuous improvement: Share current challenges, operational learnings, and opportunities with the Area Replenishment staff to improve standard processesClear communication channels: Ensure smooth coordination and information flow between Replenishment Operations and Area BuyersCulture building: Contribute to a strong culture of customer service orientation, collaboration, performance, and continuous improvement within the teamSUPERVISION:

This role sits within the Replenishment function, and it is part of the Area Replenishment Operations team which must coordinate with Area Buyers and cross-functional personnel
Area Buyers: The role directly supports Area Buyers to ensure key Replenishment commitments are properly metAdditional functions to work closely with:Logistics: OTD issues, product inspectionsMINIMUM QUALIFICATIONS
1 year of replenishment work experienceAbility to communicate effectively verbally and in writing with various cross-functional team members is criticalSavvy in the use of technology and have excellent time management skillsProficiency and proven experience in Microsoft Office Suite, including Microsoft Outlook, Microsoft Excel, Microsoft PowerPoint and Microsoft WordEDUCATION
High School Diploma or equivalent required. Some college experience is preferred.Universal pay verbiage:
Compensation depends on relevant experience and/or education, specific skills, function, geographic location, and other factors as applicable by law. The expected base rate for this role is between $18.00 -$28.00.
