Research Admin Assistant
Job Description:Grants Electronic Systems Support:
• Builds and maintains a high level of knowledge of the University of Florida Integrated Research Support Tool (UFIRST).
• Ensures accurate data is entered into UFIRST such as proposal funding status and award data.
• Assists with award administration intake activities including but not limited to imaging award documents and other correspondence in UFIRST.
• Initiates UFIRST Award and/or UFIRST Agreement SmartForms and delivers to Responsible Unit Contact for completion.
• Builds and maintains a high level of knowledge with sponsor electronic research administration systems, such as NSF FASTLANE, NIH Commons, Proposal Central.
• Establishes and maintains institutional profiles and personal accounts with external sponsors such as NIH in eRA Commons, NSF in Fastlane, and NASA in NSPIRES.
Grants General Support
• Communicates information about DSP’s standard services to faculty, staff, and sponsors.
• Tracks Responsible Conduct in Research Training (RCR) requirements for all appropriate individuals and ensures requirements are met.
• Serves as liaison between faculty, staff, and sponsors to advise and/or assist with interpretation of proposal guidelines, UF Procedures and Regulations, and other State/Federal Regulations.
• Triages internal and external correspondence to meet proposal and award deadlines and to maintain efficient award and agreement processing.
• Maintains accurate and complete files and records for each award or agreement; ensures awards are consistent and meet standards that are designed to adhere to University policies and procedures.
• Acts as point of contact for submission of post-proposal/award materials requested by sponsors.
• Maintains a high level of professional knowledge through self-study, research and participation in professional development.
• Maintains positive and productive business relationships within the University and with its Sponsors.
Office Support:
• Serves as a public contact and resource for DSP by answering or redirecting inquiries by e-mail,
mail, telephone, and in person.
• Maintains office supply inventory, compiles information for purchases of supplies, assists with equipment maintenance and interacts with vendors.
• Arranges and coordinates office events.
• Conducts special administrative projects, as assigned.
• Assist DSP with other duties and special projects as assigned.
Salary commensurate with experience and expertise
Minimum Requirements:High school diploma or equivalent and four years of relevant experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.
