The purpose of this position is to manage the grant and financial operations of the Clinical Trials Unit (CTU) in the Division of Cardiology. The CTU is composed of the faculty program head, research manager, and research coordination and administrative teams. The Research Finance Specialist is on the Administrative team but works collaboratively with both teams. The CTU provides investigator support on all aspects of heart and vascular disease for investigator-initiated, government and industry sponsored clinical research studies. The Research Finance Specialist is an active member of the CTU and the division’s finance team. **POSITION COMPLEXITIES** The Research Finance Specialist is required to use independent judgment, strong leadership skills, and will develop a knowledge of clinical trial business operations to effectively facilitate work flow and promote a collaborative work environment. This position will maintain dynamic communication with the division’s finance team, principal investigators, vendors, industry sponsors, and numerous university departments. This position will act both independently and on behalf of the program to apply and provide knowledge and advice to faculty and staff on contractual obligations, and rules and regulations of the University of Washington and various funding agencies to ensure compliance with said rules. **POSITION DIMENSIONS AND IMPACT TO THE UNIVERSITY** The Department of Medicine is committed to the goals and mission of the School of Medicine and the University. This position supports the clinical and research activities by supporting the Division of Cardiology’s Clinical Trials Unit. This position will provide finance and research grants/contracts program financial management support specifically towards these efforts. **DUTIES AND RESPONSIBILITIES** The Research Finance Specialist is will work independently to complete and maintain the necessary financial and administrative processes necessary to support the financial management needs of the CTU. This position requires a high level of comfort in navigating numerous workflows and processes across a large portfolio of trials, as well as exceptional time management and organizational skills to meet reporting expectations and deadlines. This position reports to the CTU’s Research Finance Analyst, and additional oversight from the CTU Research Manager and the division’s Associate Administrator. Functional areas include grant and contract administration, clinical trial post award activities, gift processing, and oversight of the financial operations for Division of Cardiology faculty utilizing the services of the Cardiology Clinical Trials Unit. The successful candidate for this position will be the primary financial team expert in post award clinical trial finances, work closely with pre-award financial processes, and collaborate with other finance team members and research teams. The candidate must feel comfortable operating independently, as the role requires a large amount of self-reliance and autonomy in the day-to-day tasks. A. Financial Management - 65% The Research Finance Specialist is independently responsible for overall post award budget management in the CTU. + Tracking study finances by keeping up to date on invoicing, projections, salary allocations, etc. + Serves as a CTU’s financial expert in using the University’s Clinical Trials Management Software, OnCore. + In collaboration with Research Coordinators, review invoices and charges to ensures proper billing of UWP hospital charges and research charges. Represents the program’s interest with UWP on all issues related to clinical billing. + Prepares programmatic financial reports for upper-level management as requested. + Serves as an essential member of the Division Finance effort by contributing to Division policies and procedures, operational decision making, and serving as a peer resource for other program managers. + Monitors study budget projections and analyzes expected costs and actual costs to ensure fiscal sustainability of projects and programs to support the operational needs of the CTU. Works with the Research Finance Strategist and Research Manager to address financial shortfalls. + Maintain up to date knowledge of research related University, Federal and State regulations inclusive of federal cost principles, and CTU post award financial processes. + Build and maintain professional working relationships with industry sponsors, national funding agencies and administrative offices on campus such as, but not limited to NIH, NHLBI, American Heart Association, Clinical Research Budget and Billing (CRBB), Clinical Trial Management System (CTMS), Grant and Contract Accounting (GCA), and the Office of Sponsored Programs (OSP). + Serve as the primary post award fiscal team resource for clinical trial management within the Division of Cardiology.B. Operations Management – 30% + Business planning and performance reporting. Provides reports and analyses during regular program meetings to the Faculty Program Head and to the Division Head to support program decision making. Identifies risks and opportunities, and makes recommendations to the CTU Research Manager and Associate Administrator for the Division. + Organizes and contributes to strategic planning initiatives. Prepares and presents information to and on behalf of the program. + Draft and compose internal and external communications about the program on behalf of the CTU and principal investigators. + Ensures compliance with University regulations that govern the activities of the Cardiology Clinical Trials Unit and the Division of Cardiology. + Keep up-to-date with activities of research staff and financial activities of clinical trial budgets.C. Other Projects as assigned - 5% + Participates in Division-wide and CTU workgroups, teams and projects in support of the administrative and financial goals of the program. **MINIMUM REQUIREMENTS** + A Bachelor’s Degree in a relevant course of study and two years of related experience in research administration, accounting, clinical research, grants and finance management, or similar. _Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._ **DESIRED QUALIFICATIONS** + Interest and ability to work with a dynamic, fast paced team working on novel, cutting edge projects, and an ability to see the bigger picture. + A self-starter with an ability to work independently while driving internal processes without prompting, with minimal guidance, or in novelty + Flexible and inquisitive, with a strong interest in process improvement + Demonstrated problem-solving and organizational skills. + Ability to complete tasks while demonstrating a thorough concern for all the areas involved, no matter how small. + Prior experience with industry sponsored clinical trials and clinical trial finances is a strong benefit. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
