Position Summary:
We have an exciting opportunity to join our team as a Residency/Fellowship Program Coordinator. The Program Coordinator is responsible for coordinating all activities and providing comprehensive administrative support to departmental education programs and education leadership while in compliance with ACGME institutional and program specific requirements. The Program Coordinator serves as one of the primary contacts for the School of Medicines educational offices on behalf of the department, ensuring coordinated, well-integrated programs. The Program Coordinator assists with complex project preparation and presentations, organizing activities to support recruitment and retention; manages daily activities of the program; and serves as liaison to other departments/divisions. Reports to the Program Manager-Education and Program Director(s).
Job Responsibilities:
Workflow: Provide administrative support to Residency and Fellowship Directors. Maintain regular communication with Residents, Fellows, Program Directors, Department Administrator, Faculty, Chairman. Act as liaison between Faculty, Residents, and Fellows. Set up regular training sessions for Residents and Faculty (e.g., clinic computer training, medical documentation, etc.) Order room reservations and catering for regularly scheduled events. Maintain communication and coordinate payments with vendors (e.g., catering, resident reimbursements). Track Resident schedules (e.g., electives, team rotations, etc.). Compilation of data and program reports as required by the by the ACGME, American Board of Dermatology, and NYU Graduate Medical Education (GME) Office. Coordination of in-person and virtual residency meetings and events.
Program Accreditation: Stay up-to-date with ACGME and Institutional Program Requirements. Work with Program Directors to implement changes in Training Programs. Prepare all documentation for periodic Program re-accreditation applications and site visits. Update Program Policies and Procedures documents annually or more frequently as needed. Ensure accuracy and analyze findings for collected data. Plan and develop materials and presentations for educational sessions, departmental meetings and other activities. Coordinate the credentialing process for Residents and Fellows. Prepare orientation packets for new trainees and assist the Program Directors to ensure that all residents are aware of the documentation requirements of the School, Hospitals, and ACGME.
Recordkeeping: Maintain accurate records on trainees and graduates. Maintain documentation of curriculum, accreditation documents, manuals, conference handouts, manuscripts, etc. Report Program statistics as needed to NYU SOM, ACGME, and national Dermatology organizations. Handle confidential matters with appropriate discretion and urgency. Provide credentials verification for graduates as needed.
Residency and Fellowship Program Recruitment: Set up and maintenance of comprehensive interview scheduling platforms that connects residency/fellowship applicants with program administrators and faculty for interviews. Telephone and e-mail correspondence with prospective applicants to Dermatology Residency Program, Procedural Dermatology Fellowship, Pediatric Dermatology Fellowship, International Training Program in Dermatology, Dermatopathology Fellowship, Advanced Medical Dermatology Fellowship and general Research Fellowship positions. Coordinate with Faculty and staff in planning and execution of annual Residency Interview week. Organize annual Resident and Fellow orientation program. Update recruitment materials (online and printed matter) as needed.
Evaluation Programs: Coordinates the House staff evaluation process in a web-based environment for Faculty, Residents, Fellows, and training program. Administer electronic evaluation system for patients, nursing staff, and non-medical staff. Coordination of semi-annual resident and fellow performance evaluations, evaluations of faculty and the program, and compliance with institutional and ACGME resident/fellow survey requirements.
Meetings, Events and Conferences: Organize annual Departmental events for residents and fellows(i.e., Orientation, Graduation, Basic and Core examinations/ includes coordinating catering, reservations, gifts, invitations, payment, etc.). Coordinate CME program for Grand Rounds and Tuesday Evening Conferences. Organize and attend several regularly scheduled committee meetings, including the Program Evaluation Committee and Annual Program Evaluation meetings. Assist in implementation of committee decisions. Attend GME meetings.
Performs other duties as assigned.
Minimum Qualifications:
To qualify you must have a Bachelor's Degree plus 2-3 years of responsible office administration experience, or equivalent combination of education and experience; excellent communication, interpersonal, computer and organizational skills.
Preferred Qualifications:
Bachelor's Degree in Business, Health Administration or related field with a minimum of 1-2 years of experience working in graduate medical education. Excellent communication skills are essential to interface effectively with diverse internal and external professional groups.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $64,350.00 - $88,474.77 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
