Job Description:

Residency and Fellowship Programs, Education, and Assessment Responsibilities

Collaborates with Residency/Fellowship Program Directors and supervisor with the overall administration of the Department housestaff, which includes a core residency program composed of twenty-One residents, and three fellowships (Endovascular, Functional and Neuro-Oncology) composed of 4 fellows. Maintain accurate and thorough academic records on all trainees, past and present. Including the department Alumni Database that houses contact information for current and past Faculty, Residents, and Fellows. In Collaboration with the Residency/Fellowship Program Directors and supervisor, assist with monitoring and documentation of resident/fellow progress towards meeting their program-specific milestones using New Innovations and other methods of evaluation and assessment. Prepare and distribute all requisite materials for monitoring and reporting on resident progress and faculty teaching efforts. In collaboration with the Residency/Fellowship Program Directors and supervisor, assist with the development of educational materials and classroom/laboratory needs to ensure effective educational sessions. In collaboration with supervisor, manage the ACGME Accredited Endovascular Fellowship. Manage and ensure timely completion of rotation and curriculum evaluations, residency case logs and entry into electronic databases. Track educational activities of departmental training programs. Coordinate resident/fellow educational conferences and track attendance. Assist residents/fellows with their other training and equational needs, when appropriate. Attend quarterly Graduate Medical Education coordinator meetings and Annual Association of Residency Administrators in Neurosurgery (ARANS) meeting in order to stay up to date on the latest changes in the program requirements.

Technical Management of Programs, Including Recruitment

Organize and prepare accurate documentation of program compliance with ACGME defined program requirements, in collaboration with education team prepare for  ACGME annual updates and annual program evaluation data for the core residency and fellowships. Assist in the preparation of AGME self-studies and site visits.   Must be knowledgeable of rules and regulations of housestaff leave, and maintain accurate records of resident/fellow leave. Effectively use ERAS to successfully plan, organize, and implement recruitment activities for all training programs in the department. Maintain accurate resident/fellow records.

Research and complete verification of training forms. Manage web-based software applications including New Innovations and Accreditation Council for Graduate Medical Education Accreditation Data System by ensuring schedules, scholarly activity, evaluations, resident/fellow/faculty information, etc. are up to date. Manage travel for twenty-one residents, four fellows. Submit and track travel authorization requests, registration payment request, and reimbursement request. Submit invoices requiring payment for education office.

Administrative Customer service

Respond to all inquiries via email or phone regarding the Residency and Fellowship Programs. Oversee the processing of appointments for new residents/fellows, as needed. Proctor annual in-training exam. Manage the continuing medical education activities in the Department, including Grand Rounds. Manage travel logistics for guest speakers, prepare paperwork for honorarium, track attendance, arrange food logistics, complete and process required paperwork to obtain continuing medical education credits through the UF Graduate Medical Education Office. Prepare reimbursements for residency/fellowship education related expenses. Prepare and submit invoices for the education office food and event related expenses. . Manage external medical student rotations. Manage calendars and schedule appointments, meetings, lectures, and seminars. Oversee scheduling conference room and ordering food for education office affairs. Verify quarterly invoice from the VA regarding residents VA rotation schedule. Manage effort reporting for the Department of Neurosurgery class sections.

Event Planning

Manage and oversee planning for internal and external events. These events include but not limited to, Resident and Fellow Graduation Ceremony and Annual Resident Research Day and Dinner. Must be able to multitask and handle several projects/tasks at a given time. Manage and plan  Visiting Professor activities for the department to include:  travel logistics, prepare paperwork for honorarium, create itinerary, process necessary paperwork for educational lectures and prepare expense reports. Prepare and track education program information send for the Department quarterly  newsletter. Gather, organize, edit, and prepare the material for the newsletter prior to sending to graphic designer.

 

Expected Salary:

$58,250 - $65,000

Minimum Requirements:

Bachelor's degree and three years of experience coordinating educational programs, accredited residency and/or fellowship programs; or an equivalent combination of education and relevant experience.

Preferred Qualifications:

-Knowledge of University regulations, policies, and procedures regarding educational training programs.
Experience working with Course Learning Management Systems.
-Must have excellent written and verbal skills.
-Requires initiative and good judgment.
-Attention to detail is very important.
-Knowledge of College of Medicine Residency Training programs.
-Ability and desire to be a team player being able to work effectively with department faculty and personnel.
-Master's degree in an appropriate area of specialization; or a bachelor's degree in an appropriate area of specialization and two years of appropriate experience.
