Residential Manager
SUMMARY
The Residential Manager is responsible for overseeing the day-to-day operations related to the owner experience and sales of the Pendry Barbados Residences. This includes but is not limited to sales and marketing efforts, owner communications, budget management, owner services and the general care of the residences, grounds, and all aspects of the property. The function of this position must be in accordance with the management agreement and must fulfill all obligations set forth in the governing HOA documents. This position focuses on delivering flawless service to all owners and their guest by supporting the Residential Concierge team.
ESSENTIAL FUNCTIONS
Manages the real estate sales immersion process on site by coordinating and administering for potential buyers, stakeholders, development partners, affiliates, associates and marketing/sales team and related vendors/partnersExecution of the respective residential sales and marketing plans for the project as well as regular reporting and updates related to the plan. Local ambassador in the community through outreach and awareness of the projects to key influencers and potential lead generation sources Works closely with the Company’s respective teams as it relates to supporting the residential sales efforts, marketing, and operational needs. Coordinate with Montage International corporate level marketing and branding disciplines to ensure adherence to all brand standards and review processes. Assemble market data and provide periodic reporting of this information to the project Owner. Establish comprehensive sales process, training of sales team as well as demonstrate proficiency of the offering, sales language and brand presentation Management of the marketing and sales budgets and cost tracking budget to actuals Responsible for all marketing and PR plan execution including, but not limited to, database communications, hotel channel marketing, brokers, referrals, collateral, image library, renderings, virtual tools, website, digital and print media and direct marketing. Overall lead management and maintenance of the residential marketing database including communications with all real estate prospects. Researches a variety of information for the purpose of providing market or competitive real estate and global branded residential informationSends and manages communications and correspondence for the corporate residential department to key internal and external stakeholders.Responds to sales inquiries from a variety of internal and external parties for the purpose of providing information, facilitating communication among parties and/or providing directionAssists with incoming collateral for approval by proofing and editing as necessary.Maintains the library of collateral, advertisements, marketing pieces and public relations articles ongoing for the divisionMonitors Montage/Pendry Residences website updates Ensures all compliance related items are being maintained related to marketing and registrationsUpholds all hotel operational standards that align with the brand business strategy and executionWorks collaboratively to adhere to work processes and systems in place to support the execution of the residential onsite operationServes as a liaison to Association shared services Directors (ie Housekeeping, engineering, security, human resources and accounting)Supports the facilities and all departments working within the building/campus, including physical plant with attention to protection of the investment and plans to increase its value through superior careEducates all hotel associates on property about Residences through regular communication and training and supports the Residences recognition programProvides input and planning on an ongoing basis to address business needs and maintains operational service standardsResponsible for the day to day operation of the Owner’s Lounge; forecasting of F&B needs, overall appearance and deliver of service to ownersEnsures all privacy and security matters are fulfilled for the homeowner including following protocol for contractors on property and inside the residence.Educates owners on services provided (ie basic and ala carte such as preventative maintenance)Supports the onboarding of new owners and move-in processExecutes the monthly Residences newsletter: At HomeManages all onsite outreach related to owner communications and special eventsDevelops relationships and recognizes preferences for each owner based on needs and desires of that ownerImplements the highest standards for all aspects of life safety, loss prevention, unit owner identity, and privacy protectionMaintains complete knowledge of and complies with all hotel and residence policies and proceduresTraining and support of the Residential Concierge TeamMaintains complete inventory of: Unit owners’ information, parking and storage spaces, monthly Association common dues, Owners’ monthly newsletter, resort features, services, and restaurant food concepts and information as well as other concierge related itemsServices residential owner’s requests; pre-arrival, in-residence needs and assists with reservations at other hotels in the portfolioProcesses invoices and reviews financial management reportsWorks closely with outside vendors, contractors and engineering during owner renovations or maintenance work and builds trust and relationships to ensure a smooth processAssists with executing preventative maintenance plans and ongoing status communicationsAssists with preparing residences for inspections and closingsWorks on house account billing, RMA billing and ala carte servicesReviews with Director of Residences the financial reporting and provides input in identifying budget variances and addresses accordinglyImplements invoice processing, coding and approvals for residential billingHelps drive the annual budget process as a key deliverable ready to present to board and to gain approval.Key stakeholder relationships include: residential owners, HOA board of directors, development/hotel ownership groups, local government agencies, residential sales/marketing teamQUALIFICATIONS
College DegreeProperty Management License/Certification preferredPrevious managerial experience with luxury residential or luxury hotel industry preferredFamiliarization with rental management programs as it relates to SEC regulations preferredPast experience managing a variety of outside vendors such as contractors and interior designers preferredPHYSICAL REQUIREMENTS
Must be able to sit at a desk for at least 5 hours per day. Walking and standing are required the rest of the working day. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity.
