Resiliency Executive Administrative Assistant

As an Executive Assistant in Resiliency and Delivery Management, you will need to be a strategic thinker who develops strong partnerships, works well in a team environment, and can represent the manager/group with professional courtesy and acumen. Your daily routine includes interaction with various executive-level internal clients across the lines of business. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. 

 Job Responsibilities:

Maintain complex and detailed calendars and manage the coordination and logistics of both internal and external meetingsScreen incoming calls and determine the level of priority, while using caution in dispensing informationArrange and coordinate complicated domestic and international travelOrganize all aspects of internal and external events, including catering and transportationProcess invoices and T&E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelinesAssist with staff on-boarding and off-boarding, which includes requesting equipment setup and system accessProduce high quality emails and messages to individuals at all levels of the organizationMaintain department documents, including current organizational charts and Executive Bio’sHandle regular activities without prompting, and advise in advance with issues or delaysAssist in editing spreadsheets and presentations, including printing and binding, for client meetings Support our pre-approval requisition process / attrition tracking or other engagements for 130+ employees

Required qualifications, capabilities and skills:

High school diploma / GED and at least five years of administrative experienceAdvanced ability to organizeDiscretion and good judgment in confidential situations, and proven experience interacting with senior managementStrong interpersonal, written, and oral communication skillsStrong proficiency in Microsoft Office and AdobeExcellent telephone etiquette and ability to manage competing priorities (i.e., calendar management)Able to prioritize and work overtime and support travel after hours as neededStrong proofreading skills, including excellent spelling, grammar and editing

Preferred qualifications, capabilities and skills:

College degree a plusExperience with booking and coordinating travel Experience supporting at the Managing Director level (or equivalent) or above
