Job Description:
Responsible for the daily administrative activities of the Safety Department and needs of the national safety and security manager. Assisting with the following: policy review and updates, coordinating with the safety and security vendors, communication with internal and external customers, and assisting with regulatory issues. Manages the processing and prioritization of work, effectively minimizing safety risk exposure to the company.
Responsibilities:
Will help gather and review documentation for the department that may lead to litigation and provides information to legal on behalf of the National Safety and Security Manager. Will participate in meetings to help gather information and take notes. Manage department communications and workflow to achieve an efficient and highly productive working environment to accomplish the organization’s mission and stated objectives. Responsible for ensuring completion of special projects and implementation of new procedures and teams while remaining adaptable and flexible. Manage the relationship with partners such as Lytx, Saucon, Rair, First Advantage, etc. Manages the processing and prioritization of work effectively minimizing financial exposure. Escalates financial differences in a timely manner. May be involved in investigating and paying invoices. Will produce monthly reports for the field and executive team. Will assist with preparing for compliance reviews with FMCSA and other regulatory agencies. May be involved in downloading DriveCam videos for the legal team. Additional duties as assigned.Experience Requirements:
1 – 3 years of safety compliance experience and with experience in a compliance review with FMCSA/DOT and FTA preferred. Experienced with cases that involve litigation. Proven project management skills, with a track record of successfully overseeing initiatives including vendors and budget. Team-oriented; collaborates effectively with others to ensure compliance. Strong written communication skills, with the ability to listen attentively and convey information clearly and concisely. Ability to juggle many projects and tasks without compromising safety. Strong computer skills and proficient with Microsoft Excel and PowerPoint. Decisive and effective to prioritize work. Actively promotes safety and security.Physical Requirements:
Incumbents must be able to move about the office and between floors; utilize standard office equipment; access filing system/cabinets; and communicate effectively and efficiently in person or by telephone.
