The Sales Administrator is responsible for providing administrative support for the VP of Finance and acting as the primary point of contact for non-product related customer issues such as order status, quotes, and payment. This role involves a variety of tasks to ensure accurate and timely order processing and customer satisfaction.
Responsibilities
+ Check customer portals to download and upload quotations and purchase orders (POs).
+ Complete vendor forms as required.
+ Manage the return to stock process.
+ Run the Daily Bookings Report (BDBR) and make necessary changes.
+ Follow-up on credit card, DP, and delivery delays.
+ Confirm the accuracy of customer quotes regarding prices, terms, quality, and shipping and billing addresses.
+ Convert quotes into orders once the customer PO is received and verified.
+ Generate invoices with clerical accuracy and ensure correct delivery timing to the customer.
+ Proactively update customers on upcoming delivery status and PO changes.
+ Assist Inside and Outside Sales Representatives with maintaining the C4C database, including updates as required.
+ Provide Sales Engineers and Managers with necessary data and information.
Essential Skills
+ Strong communication skills, both written and verbal.
+ Experience with SAP.
+ Proficiency in Microsoft Excel, specifically with VLOOKUPs and Pivot Tables.
+ 2+ years of experience in a support role.
+ Attention to detail.
+ Ability to troubleshoot and assist where needed.
Additional Skills & Qualifications
+ Order entry experience.
+ Experience with PO processing.
+ Familiarity with customer portals.
Work Environment
This role is based in an open office environment with offices on the perimeter. The dress code is business casual. Core hours are Monday through Friday, 8 am to 5 pm, with some flexibility to start an hour earlier or later if needed. The position requires working onsite full time.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
