Job Description

The Sales Administrator plays a critical role in managing customer relationships and sales processes while overseeing the behind-the-scenes management of Commitment Date Adjustments (CDA) and Gold-Tags to ensure timely and comprehensive resolution of complex orders. This role is responsible for tracking and managing order statuses, generating customer reports, handling urgent orders, and maintaining strong relationships with both customers and suppliers. Additionally, the Sales Administrator is tasked with receiving and accurately entering new Purchase Orders (POs) and Purchase Order Changes (POCs). This role provides administrative support to the Sales Manager while providing a clear point of contact and strong support to customers.

ResponsibilitiesGenerate and manage customer reports to provide clients with detailed status information. Ensure reports are submitted ahead of scheduled meetings and actively participate in calls with key customers. Maintain accuracy in data collection and reporting to facilitate informed decision-making.Monitor and manage order statuses to provide timely and accurate updates to customers. Ensure proactive review of order status data, identifying potential concerns or unrealistic dates. Pursue necessary CDA adjustments for critical deadlines and verify the accuracy of order information before sharing with customers.Receive, download, and accurately enter new Purchase Orders (POs) and Purchase Order Changes (POCs) to ensure seamless order processing. Manage purchase orders from major customers such as Boeing, Lockheed, and Spirit, utilizing the Sales Email Inbox and Customer Portals, including ESIS and BSCP.Process incoming customer Requests for Quotations (RFQs) and ensure prompt, accurate generation of quotations. Maintain strong customer relationships by efficiently handling RFQs and ensuring all required details are included in the quotes.Enter and track Commitment Date Adjustments (CDAs) and order status updates to ensure accurate production scheduling and on-time delivery. Prepare CDA data for review in meetings, follow up on action items and required date changes, and refine formatting to ensure clarity. Collaborate with key stakeholders to advance CDA actions outside of the scheduled meetings.Organize and lead CDA meetings to ensure structured discussions and effective resolution of scheduling challenges. Ensure meetings start on time, focus on clearly identified issues, and maintain efficiency in addressing concerns and assigning follow-ups.Document and distribute meeting notes, capturing key action items and decisions. Ensure that all meeting takeaways are communicated to the Sales Manager and relevant team members to facilitate follow-through on critical tasks.Provide general administrative support to the sales team by handling emails, completing necessary forms, and assisting with various sales-related activities to streamline operations.Draft and manage customer correspondence to ensure professional and effective communication. Process and respond to internal sales requests while coordinating with the Sales Manager to finalize and send out emails.Facilitate the enrollment of new customers by creating accounts in the system and ensuring that all necessary documentation is completed, filed, and updated accordingly.Essential SkillsExcellent written and verbal communication skillsProficient in Microsoft Office applications and CRMs/ERPsPassion for customer serviceSuccess supporting a sales team within a manufacturing companyExperience working for an Aerospace manufacturerAdditional Skills & QualificationsOrder entrySales supportCustomer serviceAccount managementInside sales supportPurchase orderRFQWork Environment

This role is based in an office within a manufacturing facility. The position offers the opportunity to go permanent with a well-established, family-owned company.

Pay and Benefits

The pay range for this position is $25.00 - $28.50/hr.
