Job Description
Essential Duties and Responsibilities – (Key Activities) The following are specific responsibilities and contributions critical to the successful performance of the position • Perform all administrative tasks for the department • Receive and distribute sales and catering inquiries• Prepare and distribute daily and weekly catering function sheets • Maintain sales and catering filing system • Maintain accurate files in Delphi/Sales Force • Maintain weekly and monthly Delphi/Sales Force audit reports • Prepare door cards, menu cards, a la carte menus, buffet labels, welcome packets, etc. for groups and events • Setup WiFi and instruction cards for all groups and events • Order AV and floral orders on a weekly basis and review daily for additions/changes, etc. • Book and coordinate all in-house meetings and events • Prepare banquet checks and monthly department sales summary • Provide RFP assistance for corporate, group and catering managers • Work with managers on proposals, contracts, client events, sales trips, special projects, etc. • Assist managers with monthly and quarterly production reports • Maintain adequate supplies and produce departmental orders through Birch Street ordering procedures • Provide marketing support, particularly during marketing budget process • Create Open Table restaurant reservations • Facilitate site visits and tours for managers when required • Book bridal portraits as required • Create, log and monitor all gift certificate requests • Assist Sales Manager with Travel Industry requests and bookings • Research and coordinate commission payments on weekly basis • Coordinate catering room reservation requests and wedding comp usage requests • Provide Group Rooms Control support Rooming lists Audit Sales Force and Opera Routing Group Room booking links Courtesy (elastic and non-elastic) room requirements Experience - • 1-2 years hotel, restaurant, office, etc. experience preferred General Skills – • Perform job functions with attention to detail, speed, and accuracy • Prioritize, organize and follow-up on all actions • Be a clear thinker, remaining calm and resolving problems using good judgment • Follow directions thoroughly • Understand guest service needs • Work cohesively with co-workers as part of a team • Work with minimal supervision • Maintain confidentiality of guest and client information and pertinent hotel data. Technical Skills - • Strong written and verbal communication skills • Proficient in Word and Excel • Exceptional interpersonal skills - able to work closely with all internal associates • Ability to prioritize and organize work assignments • Affinity for detail • Ability to meet deadlines Education or Certification - • College degree preferred
Language - • Required to speak, read and write English
Physical Requirements • Must be able to endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, lift up to20 pounds, and satisfactorily communicate with guests and co-workers to their understanding.
