Sales and Contract Coordinator

Corcoran is seeking an Onsite Sales and Contract Coordinator for a prestigious new development sales gallery situated in West Palm Beach, Florida. The position offers the exciting opportunity to work on a new construction real estate project with a prominent developer. This position must be performed in an office setting from Monday to Friday. 

Job Responsibilities & Duties 

Draft and review contractual documents to ensure compliance with company policies  Monitor and track all contractual agreements and deadlines  Coordinate with various departments to gather necessary information for contract preparation  Ensure all contracts are executed and stored in compliance with legal requirements  Handle contract inquiries and resolve issues promptly  Ensure timely renewal and amendment of contracts  Facilitate internal and external audits related to contracts  Communicate contract statuses and issues to relevant stakeholders  Collaborate with legal counsel to address complex contractual matters  Schedule all sales appointments: adding appointments to shared calendar, sending confirmation emails, sending registration forms and sending co-brokerage agreements when necessary.  Create, maintain, and distribute internal, project, and company reports and forms as directed (including contact lists, pricing grid, daily and weekly reports and monthly office schedule)  Update listings and sales activity in CRM/CMS (BCMS/Salesforce and Property Platform) software as directed by Sales Director.  Utilize CRM software to send e-blasts, pull various sales reports and manage prospects.  Participation in sales events including assisting with event walkthroughs, managing RSVPs, checking-in guests, assisting sales associates with tours/presentations, adding attendees into CMS system and noting on daily report, arranging pre and post event clean up, etc.  Assist sales associates in all aspects of their day-to-day interaction with clients including greeting agents and potential clients, providing beverages and maintaining inventory of site administration forms and marketing collateral.  Maintain positive customer-relations attitude and supportive approach to working with on and off-site team members and ancillary professionals.  Liaise and trouble shoot with Property Platform team when issues arise or updates to the sales gallery screens are needed.  Conduct miscellaneous tours/assist with presentations – courtesy tours, vendor walkthroughs, etc.  Handle multiple phone lines and manage general project inbox.  Divvy out incoming phone/email inquiries to sales associates on rotation.  Open and close the sales showroom and keep reception/sales area neat and ready for visitors.  Order/stock pantry and office supplies.  Perform any additional duties assigned and as necessary. 

Preferred Qualifications: 

Bachelor's degree in Business Administration, Law, or related field; may consider candidates without a degree given applicable work experience. Minimum of 1 year of experience in contract administration or a similar role   Experience in a corporate or legal environment Florida Real Estate Sales License is a plus. Proficiency in Microsoft Office Suite.  Strong communication skills, verbal and written. Ability to interact successfully with both internal and external customers at all levels. Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.  Detail oriented with the ability to shift from “task taking” to “task making”.  Detail-oriented with strong focus on accuracy  Ability to handle confidential information with discretion  Familiarity with real estate MLS is preferred  Familiarity with Builder CMS is preferred
