We are looking for a motivated, results-drivenConference andEvent Executiveto work within the Sales Marketing team toengage their expertise and customer focus to all facets of event sales and planning, positioning the hotel as the market leader in the region.

About the Role

Reporting to the Director of Sales,you will be responsible for quoting, contracting, management, planning and organisation of our meetings, conferences and events at Hyatt Place Melbourne Caribbean Park.

This role will involve you working as an integral member of the team toestablish Hyatt Place Melbourne Caribbean Park in the market place. Your role will require you tobuild strong client relationships both internally and externally, as well as maintaining and managing group and event requirements throughout the enquiry and planning stage.

You will be responsible for managing the end-to-end event and group enquiries of the hotel, be skilled in business conversion techniques and upsell all confirmed events to leverage additional revenue opportunities.You will be highly organised with attention to detail and a creative flair to execute successful events for our business and social clientele.

You will focus on developing successful client relationships to secure long-term repeat business and overall revenue growth across all facets of the brand.

As part of the Sales Marketing team, you will be a spokesperson and voice-of-brand. You will have a real impact on the growth and evolution of Hyatt Place Melbourne Caribbean Park, working with people who are incredibly motivated and passionate about what they do inside and out.

Main Responsibilities

Responsible for conversion, planning and executing all MICE group and event bookings at the hotel, and ensuring correct processes are being followed, including contracting, rooming lists, group blocks, deposits and event orders. Reviewing hotel MICE systems to ensure correct booking procedures, including group room and meeting programmes, catering set up and themes, contractual agreements, etc are in order. Obtain all the Clients event requirements and communicate this information to Excom and operational Department Heads through a Group Briefs, Event Order and in weekly meetings and emails. Follow up with clients at the conclusion of event to ascertain feedback on event and opportunities for re-contracting To follow all Hyatt Event Standards for answering phone / email enquiries, preparing proposals and contracts, conducting site inspections, planning events, creating event confirmations, event execution and event follow-up To fully and correctly use Envision (EMS) systems by following all policy and procedures. Running regular audit reports to ensure high standard of usage is maintained. To maintain complete records of all sales agreements, contracts and quotes for the hotel as per Hyatt’s Policies Procedures. Ensure effective and efficient day-to-day planning of all meeting, event and MICE programmes, including, administration and reporting systems To seek all new revenue opportunities across a variety of market segments, taking enquiries, creating proposals and contracts, managing group rooming lists, table plans and other event collateral as requirements by the hotel and clients To proactively grow and maintain a portfolio of corporate accounts for conferencing and accommodation. Prospect new business leads and seek referral opportunities. Ability to stand and move throughout the hotel property and continuously perform essential job functions as necessary. Develop awareness and reputation of the hotel and the brand in the local community Perform other duties as assigned

2 years’ experience in a similar role Must love events and have a strong passion for events culture Highly motivated, energetic and results driven with exceptional organisational skills Have excellent client relationship and management skills Strong communication, presentation and time management abilities Be flexible and versatile Excellent written and verbal communication skills Use and analyse data to make informed decisions Be proactive and able to make sound judgements Excellent organisational skills with ability to prioritise and juggle a busy work load
