Your role at Baxter

This role provides department support to our Infusion Therapies and Technologies and Commercial Excellence leaders. The incumbent must be able to multi-task, operate in a fast-paced, matrixed and challenging environment. You will be able to prioritize and organize efficiently with minimal supervision. In addition, you will be required to maintain a high level of confidentiality.

The role works in conjunction with other department coordinators to provide support and share best practices.

What you'll be doingCoordinate meeting schedules and address mutual concerns with other department coordinatorsPrepare and coordinate meeting materials, including rooms, audio/visual, lunches/snacks, agendas, minutes, and presentationsPrepare and/or coordinate management presentations and related documentsMaintain and order supplies for the team, ensuring budget is not exceededOrganize travel arrangements for department personnelCompile and calculate monthly budget reports for leadershipEnsure invoices are approved, coded, copied, and paid in a timely mannerMaintain contact lists of department personnelUpdate organizational charts and scorecards as requiredRegister department personnel for external training and conferencesWhat you'll bringCollege diploma1+ years of experience within Office Administration for Finance and Accounting preferredSupport role in a professional environmentPrior work experience directly supporting a senior level executive or manager, healthcare sector experience, or experience working in a regulated environmentWorks autonomously, manages priorities, and demonstrates strong organizational and follow-up skillsExhibits excellent communication skills, strong attention to detail, and advanced proficiency in MS Office applications (Word, Excel, PPT, and Outlook)Develops and maintains basic web pages, with the ability to build relationships with key stakeholders
