We’re looking for a Full Time Sales Coordinator to join our dynamic team. Whether it’s delivering exceptional guest experiences, supporting our world-class culinary and hospitality teams, or ensuring smooth daily operations, you’ll be an essential part of what makes The Source Hotel a standout destination!
What You’ll Do
Act as Liaison between Sales Manager(s) and clients offering professional, engaging and friendly service to colleagues and clients in person and through written correspondence. Qualifies booking inquiries and requests via phone and email and effectively communicate details to the Sales Manager(s) and DOSM. Uses various computer word processing and other software packages to enter data, prepare proposals, contracts, correspondence, forms, memorandum and other documents. Perform job functions with strong attention to detail, accuracy and follows directions thoroughly. Maintain accurate and updated files in all computer systems, sends out any weekly/monthly reports to the property internally and to clients. Distribute documents to appropriate people and locations to ensure prompt processing of time sensitive information by hotel team. Transport documents weighing up to 10 pounds to offices, mailrooms and other locations throughout the hotel building. Handle individual reservations for VIP clients and guests. Ensure that all arrangements, including upgrades, are handled properly, coordinating with other departments through oral and written instruction. Organize, file and retrieve documents in appropriate binders to maintain essential records used in the department operation. Provides any additional clerical tasks that are assigned by DOSM and General Manager. Handle all group and event billing pre and post stay, compile final folio post event and send out to client to collect final payment. Maintains any additional accounting tasks for the Sales Department including entering monthly expenses into Birch street. Point of contact once a group event is definite and turnover from a Sales Manager(s). Coordinate and handle all contracted guestroom requests including rooming lists, pickup reports, room inventory and creating booking links. Maintain regular correspondence with clients leading up to their arrival. Comply with attendance rules and be available to work on a regular basis. Attends daily stand-up meeting, weekly sales meeting, BEO and group resume meetings.
