We are looking for our next great team member to join our Sales & Marketing team. We are committed to providing you with:
Here is what you will be doing each day:
The Group Rooms Coordinator/Sales Administrative Assistant will support the Director of Sales & Marketing, Sales Managers, and Conference Service Managers on property. First priority is to work closely with the Sales team to assist in the daily functions associated with group business. Additional tasks may be required of the Sales Administrative Assistant on a daily, weekly or monthly basis ranging from additional office coverage to special projects.
RESPONSIBILITIES:
Create group room blocks, enter reservations, send confirmation lists/numbers
Create booking links for groups and companies
Assist clients with vouchers as well as folio and billing inquiries.
Be point of contact for pick up reporting and distribution of resume and BEO packets to teams.
Support assigned Sales Managers with various daily sales related tasks:
Answer the sales lead line and distribute leads to the appropriate sales managers.
Lead tracking and input lead details into CI/TY;
Assist with site visit preparation
Maintain professional composure in high stress situations in order to make last minute changes and communicate them to other departments, verbally or in writing.
Manage vendor invoice input for the sales department including office supplies and expense reports
Manage readerboard system for all events in the Hotel
Award planner Marriott Bonvoy points
Politely and professionally answers the telephone and greets clients.
Maintain an organized professional-looking office environment
Maintain an accurate and easy-to-use filing system for storing sales documents.
Create and distribute reports necessary for the department.
Develop professional sales presentation materials, with guidance and utilizing available resources.
Respond to inquiries – inbound phone, written, advertising, tradeshows.
Host property tours, familiarizing customers and potential customers with property features, products and services.
Proof all typing projects for accuracy of spelling and grammar before issuing.
Follow Hotel rules and policies.
Other duties as assigned.

Six months or more of experience in Hotel front desk or sales department
Marriott systems experience preferred (CI/TY and Marsha)
Opera experience preferred
