WE LOVE OUR WORK.Essential Duties and Responsibilities
The following and other duties may be assigned as necessary:
Actively procures group and corporate business for the hotel and meeting rooms by any and all means available, including but not limited to networking with trade associations, professional organizations, corporations, tour and travel organizations, and cold calls.Follows up on all inquiries from internal/external customers’ needs in both verbal and written forms of communication expediently.Responds timely to all RFPs submitted by local agencies and associations.Conducts tours of the facility and meets with prospective clients.Responsible for coordinating and handling all arrangements for group functions, including booking of functions, appropriate menu planning, establishing pricing, room setup and teardown, and other special needs for the group such as golf outings and transportation.Communicates group activity across departmental lines within the property for the successful completion of a group stay, including but not limited to distribution of Banquet Event Orders (BEOs) and group resumes.Works closely with Marketing to assist in the coordination of all internal marketing events utilizing banquet space and banquet services.Develops proficiency with the Front Office property management systems and Sales and Catering software to produce, manage, and update all BEOs.Sets up group room blocks within LMS and monitors progress through contracted cut-off dates.Responsible for hiring, scheduling, training, and supervision of banquet staff.Orders and inventories all supplies related to banquet and group business.Develops and monitors the budget related to group business.Prepares group sales contracts and performs credit checks.Implements and monitors controls designed to assure full compliance with federal, state, corporate, and property mandates.Oversees all employees assigned to meeting rooms. Although not directly responsible, ensures that other departments involved in group functions successfully carry out their tasks related to a particular function.Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.Assists in developing, implementing, and managing operational goals and monitors achievements of performance and profit objectives.Develops and maintains productive, informative, and respectful relationships that support the achievement of business-focused results with assigned departments.Assists in preparing, monitoring, and adhering to budgets and ensuring compliance with departmental budget initiatives. Reports budget concerns/deviations to the Director of Non-Gaming Operations.Enthusiastically supports, actively promotes, and demonstrates superior customer service in accordance with department and company standards and programs. Ensures customer service standards are followed by all team members and addresses issues as they arise. Responsible for the overall achievement of department customer service goals.Ensures compliance with all regulatory requirements within the area of responsibility and reports potential issues to the Director of Non-Gaming Operations.Maintains strict confidentiality in all departmental and company matters. Bachelor’s (B.A./B.S.) from a four-year college or university or equivalent combination of education and experience required.Five years related experience in hotel sales, group sales, or catering management.Must be computer literate and proficient in Microsoft Excel and Word.Ability to read, analyze, and interpret routine business documents.Ability to respond effectively to sensitive inquiries or complaints.Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.Must be very detail-oriented.Ability to define problems, collect data, establish facts, and draw valid conclusions.Ability to interpret a variety of instructions in mathematical or diagram form and deal with several abstract and concrete variables.Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.Must have the ability to interact with guests, staff, and colleagues and resolve problems and conflicts in a diplomatic and tactful manner.Demonstrated knowledge of legal requirements related to day-to-day management of employees, reducing legal risks, and ensuring regulatory compliance.Three years progressively more challenging experience in a Sales role required, including hiring, managing, and separating employees.Demonstrated intermediate level of competence in the areas of leadership, collaborative and service orientation, organizational insight, strategic perspective, change management, diagnostic insight, coaching and counseling collaboration, and influence.Supervisory Responsibilities
