Objective:
The Sales Order Coordinator is responsible for validating customer purchase orders, sales orders, invoice creation and end-user contracts. The role is central to the success of our sales teams and operations. Self-motivated by nature, the ideal candidate will take ownership of their responsibilities and drive for excellence with a sense of urgency. Pushing for continuous improvement, they understand the upstream and downstream implications of their work. The Sales Order Coordinator has a customer-first orientation who’s always willing to help. This position is based in the United States with standard working hours from 8:00am - 5:00pm Pacific Time (PT).
Responsibilities:
Order Processing:
Process and manage sales orders through the entire order lifecycle.
Collaborate with sales teams to verify order details and resolve any discrepancies.
Generate customer activation codes
Documentation and Compliance:
Maintain accurate and up-to-date documentation related to sales orders.
Ensure compliance with company policies and procedures throughout the order processing workflow.
Communication:
Work closely with sales representatives to obtain necessary information for order processing.
Communicate order status updates to both internal stakeholders and customers.
Address customer inquiries related to order processing in a professional and timely manner.
Coordination with Other Departments:
Collaborate with operations teams to ensure timely delivery of software licenses or products.
Work with operations & sales teams to determine when invoicing is appropriate
Work closely with the finance department to reconcile sales orders and invoices.
Validate Global renewal quotes
Validate and assist with the distribution of quotes for global renewals as they are released from NetSuite
Work with global sales teams to update renewal quotes after upsells
Work with resellers and distributors if they have questions concerning their assigned renewals
Requirements
2+ years of experience in sales order processing or a similar role within the software industry.
Strong understanding of software licensing and pricing models.
Excellent organizational and time-management skills.
Proficient in using order processing software and CRM systems.
Exceptional attention to detail and accuracy.
Ability to work independently
Ability to adapt and commit to extended hours during peak times, including month-end periods
Resourceful, quick learner, problem solver
Effective communication and interpersonal skills.
Strong MS Excel and Word experience
NetSuite experience preferred
This position is based in the United States with standard working hours from 8:00 AM – 5:00 PM Pacific Time (PT).
