The Director of the Information Services and Reporting (ISR) Team seeks a Salesforce Administrator to manage our new Salesforce (Kindsight ascend) CRM. The Administrator will collaborate with various members of the larger Advancement Operations & Campaign Planning team, including Business & Systems Analysts, Developers, Project Managers, and Trainers.
The Salesforce Administrator supports the management of Kindsight ascend for Loyola University Chicago’s Advancement division’s 100+ and growing user base. The Administrator is responsible for supporting Kindsight ascend, implementing the portal utilizing Experience Cloud, and assisting with the administration of Marketing Cloud. The Administrator will work with departmental technical colleagues to ensure the secure and efficient management of data within the system, troubleshoot issues, maintain and analyze backups, and support end users while also promoting adoption. The ideal candidate must have extensive experience in Salesforce administration, be self-motivated, and can work in a fast-paced, collaborative environment.
This position is based in our Chicago (Lewis Towers) office, with the opportunity to work from home in the greater Chicago area. On occasion, an in-office presence in the Lewis Towers office may be required.
Primary Responsibilities Conduct basic system administration, analysis, and support for Kindsight ascend. This includes code migration, change control, application security, performance, and availability. All aspects of user and license management including new user setup, user deactivation, profiles, roles, permissions, groups, sharing rules, field and organization-level security settings. Work with Information Technology Services to ensure system integrations remain up-to-date and running successfully, including Advancement’s Data Warehouse. Knowledge of Salesforce configuration changes, including rules, approval processes, object modeling, page layout design, formula fields, record types, dynamic layouts, applications, workflows, custom views, mobile administration, dashboards, reports, data management, data mapping, and data recovery. Knowledge of Salesforce Lightning Experience and its components, including Lightning App Builder, Lightning Record Pages, and Lightning App Development. Perform unit testing, verification, and validation for internal custom code and vendor software releases, patches, and add-ons. Architect and develop scalable solutions that adhere to Salesforce best practices. Utilize effective communication skills to gather user requirements, document solutions, and support end-users on escalated issues. Possess a basic understanding of the order of execution performed by Salesforce during record creation/changes. Sandbox environment management. Development Operations release management experience (Change Sets, etc.). Ensure all solutions are fully documented upon delivery. Implementation and maintenance of integrated applications and third-party suppliers, including, but not limited to: Nintex, Ascendix, Smarty Streets, Stripe, and Validity’s DemandTools. Ability to meet deadlines, communicate delays, and clarify ambiguous requirements. Proactively identify opportunities for process improvement and user satisfaction enhancements. Excellent relationship-building skills. Continuously stay updated with the latest Salesforce features, best practices, and industry trends through self-learning and participating in the Kindsight and Salesforce user communities and forums. Ensure the system stays current with the latest Kindsight ascend releases. Other duties as assigned.
Minimum Education and/or Work Experience Bachelor’s degree in Computer Science, Management Information Systems, Business Administration, or a related field, or an equivalent combination of experience and training. 5+ years of experience as a Salesforce Administrator preferably in a Higher Education setting. 3+ years of experience in Salesforce Lightning, APEX programming, and SOQL is required. 3+ years of experience with HTML, XML, CSS, and JavaScript. Qualifications Minimum Education and/or Work Experience
Bachelor’s degree in Computer Science, Management Information Systems, Business Administration, or a related field, or an equivalent combination of experience and training. 5+ years of experience as a Salesforce Administrator preferably in a Higher Education setting. 3+ years of experience in Salesforce Lightning, APEX programming, and SOQL is required. 3+ years of experience with HTML, XML, CSS, and JavaScript. Proficiency with Salesforce configuration tools, including a deep understanding of custom objects, page layouts, workflows, process builder, flow builder, and validation rules. Deep understanding of the Salesforce security model, including profiles, permissions, record-lever access, field-level access, roles, and hierarchies. Experience working in Salesforce and Marketing Cloud is required, in Kindsight ascend is preferred. Hands-on experience developing applications using Apex, Lightning and VisualForce, and configuration using Formulas, Workflows, Approval processes, Custom objects and fields, Sharing Rules, Page layouts, Record types, Permission Sets, Reports, and Dashboards. Knowledge and exposure to other tools and concepts like Jira, Confluence, GitHub, relational SQL and NoSQL databases, and object-oriented/object function scripting languages: Python, R, and Scala required. Knowledge and exposure to middleware tools such as KingswaySoft or MuleSoft. Proven experience in specification gathering and business analysis with Advancement subject-matter experts, serving as an expert translator in the interpretation and presentation of analyses to inform business processes. Strong practical deployment knowledge of Salesforce configurations.
Preferred Qualifications
Experience working in a Higher Education or non-profit industry. Experience working for a fundraising organization. Ability to prioritize, problem-solve, and organize tasks to meet deadlines and follow through on assignments with minimal direction while handling shifting priorities and multiple tasks effectively. Strong problem-solving skills and ability to troubleshoot issues in Salesforce configurations, customizations, and integrations. Ability to communicate highly technical concepts to both technical experts and non-technical users and management. Ability to quickly learn and understand new technical systems. Accuracy and attention to detail in a deadline-driven environment are essential. Advocacy/lobbying for needed access, permissions, and documentation from central IT. Engaging in the Advancement Services and fundraising community (Involvement in AASP, APRA, CASE). Experience participating in a team-driven, deadline-oriented environment using project management tools and agile methodologies. Knowledge of the CASE Global Reporting Standards. Willingness and aptitude to work with ambiguity. Certificates/Credentials/Licenses Certifications such as Salesforce Administrator I & II, Salesforce Platform App Builder, and Marketing Cloud Administrator are preferred and demonstrate Salesforce proficiency.
