About the Team
The Product Development team drives execution of the product development process to successfully deliver West Elm products on time, which meet the design, quality and value mission. The Sample Coordinator will support the product development team in executing the product life cycle through accurate data entry, timely follow up and sample management.
About the Role
As a Sample Coordinator, you will approach every task with a winning attitude. You will work diligently to ensure all the fine details relating to the Product Development process are kept up to date, orderly and accurate. You will approach every interaction with a service mindset and are flexible to the changing needs of the business. You are an expert at navigating PLM and are the main cross functional liaison for PLM maintenance. This is an independent and self-motivated person that acts as an owner and excels in a fast paced, dynamic work environment.
Responsibilities
Sample Process Ownership- Owns delivering samples through managing and setting up of sample tracking system across all categories. Drives alignment on deliverables regarding ship-to codes, sample shipping, labeling, and receiving. Works closely with facilities to receive, set up, and stage as needed. Creates and maintains cross-category reporting to indicate overall sample shipment status on a regular cadence.Sample Receiving- Manages sample boxes being unboxed within 48 hours. Drives ownership and accountability of sample receiving.
Sample Room Management- In partnership with design and PD team, develops an organization for all design workrooms at Dumbo, Design Archive (Dec Acc and Textiles).
Mock Store/ Milestone Meetings- Supports designers and PD in getting designated samples to the mockstore for any milestone and or photoshoots in mockstore. Ops team to create a sample library of core product for Dec Acc and Textiles. This includes any stock withdrawals that are needed.
Lost Shipment Tracking - Monitors and troubleshoots any third-party shipping issues. Tracks lost samples and creates a process for charging back third-party vendors for lost or delayed shipments.
Facilities Management -Responsible for the day-to-day organization of workrooms, and archives where applicable, with support from PD category owners. Partners with design and facilities to coordinate and set up samples for milestone meetings. This includes coordinating if samples need to be moved between buildings. Ops works alongside facilities for sample sale support when needed.
Sample Management Systems- Ensures that WE team members of design and PD, have the best systems in use to assist design and PD to ensure organization of samples and ensure the best usage of management tools to help simplify day-to-day tasks. This includes launchmetics, airtable, Monday.com, and PLM.
Photo Sample Process- Creates and maintains a process to drive alignment across design and merchandising on sample approvals for photography use. Reduces overall photo sample requests and tracks cost savings year over year by utilizing design approval samples for the photo team. Coordinates with facilities and photo teams on sample location and ensure the photo team has correct design approved samples
Criteria
1-2 years product development experience - home goods preferred Proficiency in Microsoft Outlook and Office, particularly Excel This role requires being onsite in the New York office#LI-LG1

The expected starting pay range for this position is $24 - $27/hour. Applicable pay ranges may differ across markets. Actual pay will be determined based on experience and other job-related factors permitted by law. In addition to competitive pay, compensation may include a variety of other components like benefits, paid time off, merit, and bonus opportunities.
