Job Summary:
The Scheduler Coordinator plays a critical role in managing therapy schedules, maintaining effective communication with therapists and clients, and ensuring smooth coordination of appointments. This role demands strong analytical and problem-solving skills, self-motivation, and fluency in English to uphold high service standards while adhering to confidentiality and operational guidelines. The ideal candidate is a team player with leadership qualities, attention to detail, and the ability to handle critical situations professionally.
Key Responsibilities:
Client Interaction:
• Update and maintain client information and documentation.
• Address client questions and concerns in a professional and timely manner.
• Confirm and update therapists' availability schedules.
Communication:
• Communicate promptly with therapists and clients regarding session cancellations or changes.
• Ensure confidentiality of client information at all times.
Appointment Scheduling:
• Assign new referrals to appropriate therapists based on client location, service area, and availability.
• Handle rescheduling and cancellations efficiently.
• Confirm and update therapy sessions and meetings to ensure accuracy.
• Collaborate with Clinical Managers and supervisors to develop processes that improve scheduling efficiency.
• Monitor attendance and cancellations closely and resolve scheduling conflicts professionally.
• Coordinate therapists' schedules to align with compatible clients' needs.
Coordination and Collaboration:
• Work closely with therapists and staff to ensure seamless scheduling operations.
• Assist in organizing events and meetings when needed.
Qualifications and Requirements:
• Bachelor's degree in psychology, education, business administration, or a related field (Master's degree preferred).
• Minimum of 1 year of experience in an administrative role, preferably in scheduling or client-facing positions.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with Google Workspace is a plus.
• Fluent in English
• Strong analytical and problem-solving skills.
• Self-motivated and detail-oriented with excellent organizational and time management skills.
• Outstanding verbal and written communication abilities.
• Exceptional interpersonal skills, capable of resolving conflicts and building collaborative relationships.
