Job Overview:

In this role you will provide comprehensive administrative/operational support to the Bariatric Program. This includes, but not limited to the day-to-day operations such as answering phones, scheduling appointments and surgical procedures, obtaining authorizations/referrals for treatments and imaging. Provide administrative assistance to the physicians, clinical team, Program manager and Director of administration in addition to other patient care issues as directed.

Required:

High School Diploma or equivalent RequiredAt least 1 year of surgical scheduling experience required Demonstrates professionalism, superior written/verbal communication and exceptional customer service skills. Familiarity with medical terminology and general medical office procedures

Scheduling Requirements:

Shift- 8:30am-4:30pmMonday- FridayFull Time

Essential Functions:

Answering the phones courteously and in a timely mannerDemonstrates a high degree of accuracy and attention to detail at all timesAbility to interact with patients in a professional, personable and empathetic mannerMaintains chart accuracy in EMR system by ensuring appropriate records are collected and scanned appropriatelyBasic knowledge of health insurance coverage including verification of benefits, pre-certification/pre-authorization for imaging and procedures, etc. Demonstrates an awareness of the scheduler s importance in contributing to patient safety and the efficient coordination of surgical proceduresCommunicates problems to the proper personnel promptly; asks questions to clarify misunderstandings; requests assistance from appropriate personnel in the event of an unusual or difficult situationAbility to work collaboratively as part of a team; offering assistance whenever colleagues are in need. Communicates with Physician/s per their schedulesReview patient history and medications to ensure accuracy in EMR and verify medical and or specialist clearance needed prior to surgery. Call patients to advise of time-frame for surgery Communicates with patients to coordinate surgery day, arrange for pre-op testing, arrange pre/post op visits as per individual physician protocolContacts referring physician, provides surgery information and any pre-op orders needed for H&P and/or medical clearanceEnsures all pre-op orders are created and faxed to appropriate facility/s and or sent to patient, including labs, EKG, chest x-ray, urine testing, and/or communicates with patient prior to surgery to go over consents, surgical estimates, insurance authorizations; responsible for collecting monies due prior to surgeryCompletes all SSI disability forms and Letters of Medical Necessity for insurance information, as well as, explain benefits to patient preparing for surgeryDemonstrates excellent customer service in communication with physicians/physician staff, all departments within the medical center, miscellaneous callers and visitorsObtains adequate/accurate information and delegate information appropriatelyMaintains communication with physicians, mid- level providers, patients hospitals, insurance companiesDemonstrates good judgment by following written and verbal instructions carefully. Demonstrates the ability to adapt to change in the workload as required; uses time productivelyShows good judgment in the answering and referral of phone callsPerforms all other duties as assigned
