Summary Job title: Scheduler-Office Manager Job ID: 202532680004 Department: Pasadena - IND Location: TX-Pasadena Description Summary: We are seeking a detail-oriented and organized Scheduler/Office Manager to join our team in the electrical distribution industry. The ideal candidate will have excellent administrative and scheduling skills to manage daily operations and ensure smooth workflow in our service delivery. You will be responsible for managing work orders for technicians, coordinating schedules, handling invoicing, performing general office management duties, and maintaining safety compliance records, including filling out OSHA 300 logs. The role requires multitasking, attention to detail, and the ability to work collaboratively in a fast-paced environment. Reports to: Field Services Manager Minimum Qualifications: + High school diploma or equivalent; Associate’s degree preferred + Minimum of 2 years of experience in scheduling or office management, preferably within the service or electrical distribution industry + Proficiency in office software (Microsoft Office Suite, Excel, etc.) + Excellent verbal and written communication skills + Experience with invoicing, billing systems, and accounts receivable ADDITIONAL COMPETENCIES: + Strong organizational and time-management skills + Ability to prioritize tasks and manage multiple projects simultaneously + Strong problem-solving skills and attention to detail Preferred Qualifications: + Experience with service management software and scheduling tools + Knowledge of the electrical distribution industry or technical services + Previous experience in a customer service role + Familiarity with ISN safety portals and OSHA compliance practices Working Conditions: + Office-based with occasional on-site interactions with field staff and clients + Occasional overtime or flexible hours depending on service needs Supervisory Responsibilities: No Essential Job Functions: Work Order Management: + Review and process incoming service requests and work orders from clients. + Assign work orders to appropriate technicians based on availability and expertise. + Track work order status, ensuring timely completion and resolution. + Communicate with technicians to confirm schedules and address any issues. Scheduling and Coordination: + Maintain an organized and up-to-date technician schedule, ensuring proper coverage for all service calls and projects. + Coordinate with field technicians to ensure they are equipped with necessary materials and tools. + Communicate with clients regarding appointment scheduling, cancellations, or changes. Invoicing and Billing: + Generate and process invoices for completed services, ensuring accuracy and timely submission. + Assist with managing accounts receivable and follow up on overdue payments. + Review service orders to ensure that charges are correctly recorded for billing. Clerical and Office Support: + Answer phone calls, respond to client inquiries, and provide excellent customer service. + Perform general office duties, including filing, data entry, and document management. + Maintain inventory records and assist in ordering supplies as needed. + Assist with payroll processing and employee timekeeping. + Support office management activities, including maintaining a clean and efficient office environment. Safety Compliance and Record Keeping: + Manage and maintain ISN safety portals and ensure all necessary documents are updated and submitted. + Complete and track OSHA 300 logs for workplace injuries and incidents, ensuring compliance with OSHA safety regulations. + Ensure the company meets safety standards by filling out required forms and maintaining safety records in accordance with regulations. + Monitor and support safety training programs to ensure staff is kept up-to-date with safety protocols. Communication and Customer Service: + Serve as a liaison between field technicians, management, and clients to ensure effective communication. + Address client concerns or complaints promptly and professionally, ensuring customer satisfaction.
