About the Role:

Under the direction of the Manager, Operations, the Scheduler is responsible for the coordination of course, simulation session and exam schedules for courses offered within the Real Estate Education Program (REEP) and by the Education Training Solutions (ETS) department including the scheduling of facilitators and proctors across the Province. Duties include maintenance of the schedule within the Destiny One Banner student information systems and demand planning tools. The incumbent is responsible for effective coordination, planning, organization, and implementation of scheduling and related scheduling procedures and processes to support the efficient operation of departmental learning activities.

Liaising with ETS Leadership (Senior Dean, Associate Dean, Operations Manager, Program Manager and Test Center Manager) the ETS-REEP Scheduler coordinates all aspects of the assignment, utilization, and optimization of classroom space contractors as related to course and exam scheduling. Responsibilities include but are not limited to: gathering information, maintaining and updating the course scheduling information within Destiny One, Proctortrack and Banner; assigning and managing the usage of learning space using demand planning tools, and serving as a resource on matters such as course and classroom information, scheduling and policies. The incumbent also acts as a resource to ETS Leadership on section sizes for the purpose of finding budgetary efficiencies ensuring the rules regarding relevant program agreements are met.

The incumbent is responsible for maintaining the relationship with external test centers including contract negotiations, scheduling mutually agreeable test dates, REEP exam delivery training and managing invoicing.

The incumbent’s work is time sensitive, and pivotal to the success of program delivery. Efficient program delivery is highly dependent on scheduling related tasks being accurately completed in a timely manner and recorded and communicated in a clear and proactive way.

Education
3 year diploma/degree or equivalent in Business Administration / Business Management / Office Administration

Experience/Skills

The incumbent must have a minimum of 3 years related experience and should demonstrate the following:

Sound experience working in the post-secondary education environment with strong understanding of college business processesDemonstrated proficiency working with student information systems and with complex scheduling systems; ideally in a post secondary environment. Examples: Banner, Destiny One and InfosilemStrong communication skills, both oral and written, with the ability to explain moderately complex processesStrong analytical and problem solving skillsProficient knowledge of MS Office SuiteMust work well under pressure and meet strict deadlines. Ability to handle multiple tasks and projects simultaneouslyMust be able to make decisions and provide rationale/explanations on the decisions made ; possess excellent interpersonal skills for advising and conflict resolution Must be able to interpret guidelines and be able to determine when decisions need to be reviewed / revisedMust be able to learn and adapt to new and changing processes and computer applicationsDemonstrated organizational and scheduling skills
