Summary:

Vighter is recruiting multiple Scheduling Coordinators to provide medical service and medical support within the Customs and Border Protection – Immigration and Customs Enforcement mission, with dozens of locations across the United States’ Southern borders, to include California, Arizona, New Mexico, Texas and Florida.   The Scheduling Coordinator will play a critical role in ensuring adequate staffing levels and coverage across different shifts and locations within our region. The Scheduling Coordinator will be responsible for organizing and managing employee schedules, utilizing technology to facilitate communication and collaboration with remote staff. The ideal candidate will have strong organizational skills, excellent communication abilities, and experience working with remote teams.

Principle Accountabilities:

Coordinate and manage employee schedules for various shifts and locations within the region, including austere sites. Work closely with managers and supervisors to assess staffing needs and ensure appropriate coverage for all shifts and locations. Utilize scheduling software or systems to create, maintain, and distribute employee schedules, ensuring accuracy and compliance with organizational policies and regulatory requirements. Communicate with staff regarding schedules, shift assignments and changes or updates to their work hours and/or locations, utilizing phone, email, or teleconferencing tools. Monitor and track employee attendance, time off requests, and availability, addressing any scheduling conflicts or issues in a timely manner. Collaborate with HR and payroll departments to ensure accurate and timely processing of employee timekeeping and payroll records for remote staff. Provide support to managers and supervisors in addressing staffing shortages, emergency staffing needs, and other scheduling-related issues. Conduct regular audits and reviews of scheduling data and records to ensure accuracy, completeness, and compliance with organizational standards. Stay informed about changes in staffing needs, patient volumes, and operational priorities, adjusting schedules and staffing levels accordingly. Maintain confidentiality and handle sensitive information with discretion, adhering to HIPAA regulations and other privacy standards. An unshakeable adherence to quality and continuous process improvement. An apolitical, patient-centered focus that drives to enhanced care and patient satisfaction Knowledge of regulations (HIPAA/Privacy Act) regarding the confidentiality of patient medical records and information as well as Personally Identifiable Information (PII). Provide training and support to remote employees on timekeeping systems and processes, including troubleshooting issues and providing guidance on effective use of timekeeping tools. Stay informed about changes in timekeeping technology, regulations, and best practices, and make recommendations for updates and improvements to timekeeping processes. Other duties as assigned.

Knowledge and Skills:

Must have exceptional customer service skills. Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.

Education:

High School Diploma or equivalent. Associates Degree preferred.

Qualifications:

Minimum of 2 years of experience in healthcare staffing, scheduling or related field. Experience working with remote teams is preferred. Strong understanding of healthcare operations and staffing requirements in a clinical setting. Proficiency in scheduling software such as Kronos, ScheduleAnywhere, or similar platforms. Excellent organizational and time management skills; ability to prioritize tasks & meet deadlines. Strong communication and interpersonal skills, with the ability to interact effectively with staff, managers, and Leadership. Ability to work independently and collaboratively in a fast-paced, work environment. Knowledge of labor laws, regulations, and compliance requirements related to healthcare staffing and scheduling.

Duty Hours / On-call Requirements

Generally speaking, the corporate office is open 8 a.m.-5 p.m.; however, during times of rapid mobilization, hours may be extended to include days, nights, weekends and holidays. The are opportunities across a multitude of locations and shifts. Travel:

As required to satisfy the contractual obligations. Generally, travel is limited to commute from residence to the worksite. Commute is non-compensatory.

Physical Requirements:

Must be able to sit for more than 8 hours per day. Must be willing to work overtime if necessary. Must be able, with advance notice to float to surgical sites within 15 miles. Must be able to use an elevator or walk up and down stairs. Must be able to lift up to 40 pounds and carry up to 10 feet. Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders. Must be able to read and interpret handwritten and typewritten print. Must be able to communicate by voice and detect sound by ear. Must be able to perform duties in an indoor or outdoor environment. Must be able to pass a criminal background investigation. Must undergo Urine Drug Screening (UDS). Positions require applicants to be US Citizens, 21 years or older.  Must complete criminal background check, and Child Abuse and Neglect (CAN) background check.
