Scheduling Coordinator

ASM Global, the leader in privately managed public assembly facilities has an excellent and immediate opening for a Scheduling Coordinator at the Long Beach Convention & Entertainment Center. The Scheduling Coordinator is responsible for coordinating all activities of Food & Beverage including scheduling of employees.

Hourly Rate: $25-$28

POSITION DUTIES

Meet with Operations Department to determine scheduling needs for upcoming events.  Enforces scheduling timelines.Monitor event calendar for upcoming events to ensure proper staffing and uniform levels.Maintain proper scheduling policies, avoiding scheduling conflicts and violations.Develops, implements and maintains scheduling system.Maintains and monitors current E-Time system.Maintains posting of Catering orders (BEO’S)Follows all SMG and Union Contract language as it relates to Scheduling.Monitors progressive Discipline, Absentee Logs

Maintain department with the following:

Review Event Forecast Schedule with Managers, to determine staffing requirements for CateringPrepare Schedules and Packets based on Managers requirements (Catering and C.O.D’s).Prepare packets for cateringCompare event forecast to Managers requirementsSchedule employees as needed for COD and Catering based on seniority and Union procedures.Complete packets for employee pick based on Union GuidelinesComplete, monitor and maintain employee recapConfirm all employee schedules, and verify catering employees pickOrder extras from Union dispatch as per contractPrepare check-in sheet and timesheetsPost timesheets on clipboards and boardDistribute copies of check-in sheets

Job Description

Employee check-in and check-outCheck-in scheduled employees by location according to check-in sheetCheck Union dispatch employees for dispatch slipsDirect employees to location (In-uniform), new employees need to be taken to the location and advised of SMG rules and regulationsInform managers of no-shows, absences, etc. making adjustments accordinglyMonitor accuracy of completed timesheetsBatch and submit completed timesheets to Payroll for processing.

Maintain Administrative proceduresAccountable for filing of documentation of Union correspondenceFiling of Catering packets and updates of samePosting and maintaining upcoming events boardVerify tip distributions have been completed by F&B Managers, and supplying information as neededMaintaining copies of completed and coded timesheetsVerifying and researching employee payroll complaintsSubmit employee time off requests to Human ResourcesWork with Union Local 11 on the adherence to contract and SMG Rules and Regulations.Enforcement of SMG rules and Regulations including issuance and transmittal of proper documentation.Assist F&B Managers with accident reporting and disciplinary actions.Assist Staff Services Manager with seniority lists, Union issues and additional duties as required.Monitor locations for employee performances and adherences to SMG Rules and RegulationsOn hand during events to ensure proper staffing and indoctrinationAssist Operations Manager with floor plans and table assignments as neededOther related duties as required

QUALIFICATIONS

*          Ability to maintain confidentiality of sensitive employee documents

*          Must have high level of problem solving ability

*          Ability to manage, train and develop staff

*          Detail oriented with good verbal and written organizational skills.

*          Ability to interface with other departments.

*          Ability to carry out assignments with minimum supervision.

*          Must be able to work all shifts and weekends.

*          Knowledge of Windows, Word, Excel
