Overview JOB SUMMARY Under the supervision of the Human Resources Manager, the Scheduling Coordinator is responsible for scheduling and travel support for employees. ESSENTIAL FUNCTIONS Collaborates with field manager on personnel changes to crew schedule Responsible for maintaining and distributing an accurate weekly field crew schedule Manage field personnel annual leave requests and assist in providing temporary replacement Update personnel actions in HRIS as required Arranges travel on commercial airlines, limited hotels and car rental reservations Provides travelers with completed itineraries and documents necessary for travel Ensures reservations are arranged & confirmed in advance of travel date Monitors flight status and provides updates to employees as needed, e.g. delays, cancellations, etc. Notifies supervisor immediately of an employee missed flight Ensure employees have the proper credentials prior to travel, e.g. NSTC, identification, etc. Communicate with field managers on current and future travel needs Maintain relationships with customer travel representatives Inform field manages of travel procedures and regulations as required Perform other duties as assigned CORE COMPETENCIES Commitment to Excellence: Identifies what needs to be completed and takes action to achieve a standard of excellence beyond job expectations Corporate Values: Understand, embraces, and integrates DDI corporate values into everyday duties and responsibilities Safety and Security: Promotes a safe work environment for co-workers and customers Customer Service: Identifies and responds to current and future client needs by providing excellent service to internal and external customers Teamwork: Resourceful team player that builds, strengthens, and maintains collaborative relationships with others inside and outside the organization JOB SPECIFIC COMPETENCIES Attention to Detail: Ensures one's own and other's work and information are complete and accurate Communication Skills: Listens, writes, and speaks effectively, and positively relates and interacts with co-workers and others Decision Making: Makes choices or reaches conclusions by establishing objectives, gathering relevant information, identifying alternatives, setting criteria for the decision, and selecting the best option Dependability: Consistently adheres to operational standards, ensures smooth operations and positive customer experiences, builds a productive workplace, is reliable and improves team morale REQUIRED QUALIFICATIONS. High school diploma or equivalent Advanced skills with Microsoft Office (Outlook, Word, Excel & PowerPoint) Excellent verbal and written communication skills WORKING ENVIRONMENT The majority of work is performed in a professional office setting with a wide variety of people with differing cultures, functions, personalities and abilities. PHYSICAL DEMANDS The work is generally sedentary, requiring routine walking, standing, bending and carrying items weighing less than forty pounds.
