Scheduling Coordinator
Central Scheduling Coordinator Non-Exempt, Hourly Under the supervision of the 919 Residential Manger, the Central Scheduling Coordinator develops master schedules for direct support professional (DSP) staff for the 919 Richmond site and nursing staff for 919, and coordinates DSP coverage in the event of unscheduled absences, LOAs, and vacations or for emergency staffing needs. The Central Scheduling Coordinator performs payroll functions in ADP to update DSP work hours, including PTO, Sick and hours worked based on manual punch cards. The Central Scheduling Coordinator works cooperatively with all RCS locations/departments to ensure appropriate staffing to maintain quality of life and continuity of care for the individuals served. The Central Scheduling Coordinator demonstrates knowledge of Richmond’s quality mission, vision, and values. In addition, this position actively participates in quality improvement projects (i.e. communicating issues, offering suggestions) to ensure ongoing excellence of services, programs and staff to maximize the quality of life for individuals supported by RCS. + Maintains a current central schedule for DSP positions at 919 and nursing positions at 919, and fills designated DSP vacancies/nursing vacancies as needed (LOAs, PTO, vacant positions). + Maintains system for collecting data from sites on LOA and PTO for DSPs. Develops and maintains a system for notification and responses to staff of open positions and open shifts at all sites. + Maintains a current and active list of Per Diem staff including name, contact information, location of availability, days of availability and times of availability. This list should be updated on a weekly basis and sent to Residential and Day Program Management. + Posts the open shift(s)/extra work available to DSPs at 919 every Wednesday for the following work-week. Reviews the Additional Hours Sign-Up Forms received by Thursday at 5pm, and must offer the open shift(s)/extra work to employees with a permanent work schedule at 919, as follows: + If more than one employee signs up for the open shift(s)/extra work the Scheduling Coordinator will assign employees that requested the shift on a rotating basis, first to part timers (less than 37.5hours per week), then to Per Diems then to full timers, beginning with the most senior. + If an employee has already been assigned to work 37.5 hours (full-time) within the week, the extra work/additional shift(s) will be offered to employees who have not yet reached this threshold, in an effort to minimize overtime. + If the employee has already worked 52.5 hours within the week or more than 16 hours in a 24-hour period then they cannot sign up for open shift(s)/extra work. (However, this can be overridden and approved by the Director of Residential Services in emergency situations). + Assign the open shift(s) as per the above procedure, and then repost the schedule on the Friday for the following work-week. + Utilizes the Advanced Scheduler Tools + Coordinates schedules of Per Diems (DSPs, RNs, and LPNs) and Temp Staff. + Regularly retrieves messages from DSP call-in line to check availability. + Communicates effectively with all Residential and Day Program management staff regarding DSP availability, scheduling, and other pertinent information. + Ensures proper utilization of staff based on RCS policies/practices. + Produces monthly activity reports in order to measure the impact of the usage of per diem/additional hours, as requested. + Resolves schedule and other conflicts and adjusts assignments to meet the needs of the site, with consideration for Richmond coverage needs, policies and staff needs. + Performs payroll functions in ADP to update DSP work hours including PTO, Sick time and work hours based on manual punch cards. + Develops positive relationships with all levels of staff and residents. + Submits recommendations for policy and procedure updates or the requirement for new policies, as needed. + Preserves the confidentiality of reports, other documentation, and IT databases where necessary. + Reports any issues to the 919 Residential Manager immediately and as needed + Completes other duties as assigned by the Recruitment and Staffing Manager and/or HR Management. This position works a regular schedule of a 35-hour work week; eligible for overtime pay. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other graphics programs or desktop publishing a plus + + Associates degree in business administration or related field or Business School graduate preferred OR one year of relevant experience working in administration, customer service or scheduling. + Strong commitment to RCS mission and values and to working with individuals with I/DD and their families. + One year scheduling experience.
