Occupational Summary

Direct, administer, and coordinate the technical and administrative activities of a scientific or research group in relation to the operation of the Life Science Facility (LSF) shared resource.  Act as the supervisor to subordinates to meet schedules and/or resolve technical problems. Perform all Department of Integrative Immunobiology and School of Medicine required administrative duties.  Frequently interact with other labs and coordinates the program activities with responsibility for results in terms of costs, methods, and employees. Insure Standard Operating Procedures and protocols are maintained and applied.

 

Perform all Department of Integrative Immunobiology and School of Medicine required administrative duties including annual budget planning and setting of rates, financial analysis of Facility operations, obtaining standing PO#’s with the Department of Integrative Immunobiology business office, obtaining and implementing annual updates to Vendor e-catalogs, working to add new Vendors to LSF product sales operation.

 

 

Work Performed

Serves as Director (100% effort) of the Duke University LSF service center. Directs all daily activities of the facility and supervises the technical staff. Performs all Dept of Integrative Immunobiology and School of Medicine required administrative duties including annual budget planning and setting of rates, financial analysis of Facility, obtaining standing PO#’s with the Department of Integrative Immunobiology business office, obtaining and implementing annual updates to Vendor e-catalogs, working to add new Vendors to LSF product sales operation. Implement and complete all required billing steps for all Facility purchases. Assist in formulating and implementing the short and long-range goals for the operation of the Facility; set priorities, assign responsibilities, and establish timetables. Project future needs and formulate strategies consistent with projections. Plan and schedule work for the group to ensure proper distribution of assignments as well as adequate manning, space, and facilities for subsequent performance of duties. Manages and coordinates the activities of a project(s) with responsibility for results in terms of costs, methods, and employees; coordinate and supervise the performance of routine and specialized technical procedures in multiple laboratories. Develop and implement Laboratory(s) policies and procedures. Manage and coordinate operational policies and procedures; coordinate with research staff on issues which impact laboratory services. Maintain liaison with investigators, research personnel and staff to solve specific operating problems and improve technical activities. Advise on technical procedures, techniques and equipment, and maintain conformance with specific operational standards. Maintain quality checks on safety of laboratories, including biohazards and insure maintenance of the facilities according to Good Laboratory Practices. Serve as the Core Store Manager is to oversee the management and running of the Duke Life Science Facility (LSF) 'Core Store' storeroom operation for inventoried products.

 

Including:

Oversee all operations of the LSF 'Core Store' storeroom.

 

Serve as the primary storeroom clerk of the 'Core Store' interacting with customers.

 

Manage other LSF staff as they work in the 'Core Store'.

 

Analyze and review daily issues with the proper functioning of the 'Core Store'.

 

Prepare regular reports based on defined metrics; oversee needed internal controls for the purchase, sales and inventory control over 'Core Store' products.

 

Act as the primary person implementing and completing the necessary billing steps for all ‘Core Store’ purchases.

 

Work with LSF staff to maintain proper inventory levels.  Assist with periodic inventory counts to reconcile the physical inventory levels with LSF-Portal software inventory values.

 

Work with LSF staff to develop storeroom layouts and material layouts.

 

Identify ways to improve efficiencies in 'Core Store' operations.

 

Document operational processes

 

Maintain storeroom best practices.

 

Develop and maintain good customer service relationships with members of the Duke research community.

 

Develop and maintain good relationships with representatives of the Vendors stocking products in the 'Core Store'.  

 

Education/Training:  Minimally a college degree with emphasis in business or science is preferred.  Demonstrated storeroom experience can be substituted.

 

Experience:  Minimum 3-5 years of related storeroom or laboratory managerial experience; 3-5 years of staff supervision or equivalent.

 

Skills:  Candidates must demonstrate excellent managerial skills and the ability to work effectively in a team setting.  Excellent customers service and attention to detail skills are needed.    Experience using Duke SAP and advanced cloud based e-commerce software is a plus.
