PURPOSE OF JOB CLASS (NATURE OF WORK) In a state agency this class is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures. MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE Three (3) years of experience above the routine clerk level in office support or secretarial work. MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE One (1) year of the General Experience must have been as a Secretary 1 or its equivalent. MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years. PREFERRED QUALIFICATIONS • Professional experience working in higher education. • Experience working in person (not remotely) • Event Planning and Coordination: Strong organizational experience managing department events, such as advisory board meetings, high school visits, open houses and guest speaker sessions. This includes coordinating logistics, ordering food through the university system and outside vendors, tracking payments, and ensuring timely follow-up on financial matters. Manage inventory of department’s promotional material such as leaflets, giveaways, etc. • Proficiency in Enterprise Resource Planning Tool: Experience using systems such as Banner for tasks such as overriding prerequisite requirements, assisting with course registrations, and managing department-related records. • Faculty Support: Experience providing administrative support to faculty, including scheduling meetings, managing correspondence, reimbursements, coordinating and ordering supplies, and maintaining organized records; provide administrative support for adjunct faculty including recruitment, paperwork, compensation, onboarding, etc.; managing department related records, such as department /program funds. • Attention to Detail: Ensuring accuracy in managing administrative tasks, such as submitting paperwork, processing reimbursements, and handling departmental purchases. Maintain inventory of updated policies and forms. • Communication Skills: Professional verbal and written communication skills to liaise with university departments, external stakeholders, and students. • Problem-Solving Skills: Experience troubleshooting and resolving issues, particularly those related to university systems or departmental logistics. • Time Management and Multitasking: Experience prioritizing tasks effectively, high volume, especially during busy periods like event planning or semester starts. • Technology Proficiency: Familiarity with office productivity tools (e.g., Microsoft Office, Google Workspace) and adaptability to learn new university software and systems.
