Summary The Secretary is responsible for a broad range of administrative and clerical duties associated with six direct patient care clinics/departments in the Rehabilitation Medicine Service. This will include administrative and secretarial duties associated with the Service Chief, as well administrative and clerical support for the day-to-day operations of the Physical Therapy, Occupational Therapy, Kinesiotherapy, Recreational Therapy, Audiology and Speech department. Responsibilities Major duties and responsibilities include (but are not limited to). Responsible for processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Prepares and maintains appropriate forms for human resources actions to include preparing HR forms and SF 52's for separation, recruitments, change in pay status, change in name, etc. Receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. Schedules all interviews for candidates to positions within the respective Service Line. Conducts reviews for compliance and accuracy and serves as a resource for other timekeepers within clinical service areas. Submits electronic requests for IT service and access to menus and software applications for management and employees. Obtains and monitors use of services, supplies, or equipment for the office. Prepares public presentation outlines; develops standard or form letters and replies to inquiries. Performs other related duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/22/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Specialized experience in formatting and routing of Medical Center Polices and reviewing official correspondence or grammar spelling punctuation and required formats. Manage Fund Control points and purchase and card activity. Coordinating office practices with other services. Experience working with patient clinics and communicating program information to patients. Operating automation software to include but limited to ( Microsoft word, Excel, PowerPoint, Share Point, Publisher, Acrobat, Outlook, and Teams). Utilizing office equipment including but not limited to scanners, printers, fax machines, and multi-line telephones. Physical Requirements: The work is sedentary. It is generally performed sitting, and may involve some walking, standing, bending, and carrying light items such as papers, books, or small parts. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
