Job Description

The Secretary will work in the Modern Language Studies office, providing essential clerical support and ensuring the smooth operation of departmental activities.

ResponsibilitiesScreen visitors, arrange meetings, and schedule appointments for the chairperson, if necessary.Maintain a filing system for all departmental correspondence, business, current course syllabi, student information, blank forms, and substitution forms.Collect items, make copies, and distribute agendas with supporting documents prior to department meetings; prepare department minutes from notes taken.Gather information and submit to the chairperson for signature reports in typed form for faculty overload, independent study, and individualized instruction.Gather information from campus offices and vendors regarding prices, designs, etc., for supplies and equipment being considered for purchase before typing requisitions.Record faculty absences and forward duly approved forms to the dean's office; assist in locating available faculty for class coverage in cases of unexpected absences due to illness, and report class cancellations to the Dean's Office, if necessary.Manage all Drop/Add procedures, adjusting student class levels as needed during the first two weeks after classes start.Initiate and type book orders for the Bookstore for all courses taught each semester, contact publishers or their representatives for desk copies and preview books for possible course selection.Arrange for building maintenance work as required, maintain physical inventory files, and obtain or surplus equipment as necessary.Order and maintain supplies from the Storeroom and computer supplies for offices, faculty, and student assistants.Maintain a historical file of all courses taught by course, semester, and faculty member.Design brochures and specialty flyers to advertise upcoming conferences and courses.Supervise student workers.Essential SkillsProficiency in Microsoft OfficeClerical support experienceCustomer service experienceAbility to work with confidential informationStrong multitasking skillsAbility to meet deadlinesExperience with culturally diverse populationsAdditional Skills & QualificationsExperience within the higher education industryAbility to gain referrals and references for other opportunitiesWork Environment

The work environment is a university campus with multiple buildings. The work schedule is Monday to Friday, 8:00 am to 4:30 pm, with a 1-hour lunch break. The dress code is business casual, and jeans are acceptable.

Pay and Benefits

The pay range for this position is $15.00 - $15.00/hr.
